About the role

We are looking for an Executive Business Partner to support a VP, Chief Information Officer (Kevin Smith), Chief Information Security Officer (Chaim Sanders), and Director, TPM (Jared Evans), all leaders within the Foundations & AI Transformation (Foundations) organization. You will handle the calendars of three leaders, coordinate meetings and events, and help organize org-wide initiatives. You are joining a team of three Executive Business Partners and will collaborate on org-wide projects and priorities.

Responsibilities

  • Proactively and strategically manage the executives’ complex calendars and meeting coordination, travel, and other administrative tasks
  • Work closely with fellow Executive Business Partners to ensure efficient, effective, and consistent coverage across all leaders
  • Manage clear communication between stakeholders, identify gaps in visibility, and propose solutions
  • Independently and proactively provide solutions to issues and escalate if necessary
  • Stay abreast of the leaders’ priorities and major projects, serving as a resource for other stakeholders when needed
  • Plan offsites and team events
  • Project-manage initiatives and work streams; track progress, identify areas for efficiencies, and ensure timely completion of projects
  • Provide peer mentorship and coaching to other Executive Business Partners in the org
  • Handle budget and expense management
  • Partner with Office Operations and IT teams to ensure teams have appropriate resources and optimal setups for in-person, remote, and hybrid meetings

Requirements

  • 4+ years of experience as an Executive Assistant for a C-level executive
  • Ability to anticipate and proactively manage responsibilities and tasks
  • Excellent communication and collaboration skills; demonstrated experience building strong partnerships and managing clear communications across stakeholders
  • High emotional intelligence and ability to build solid relationships across all levels of the organization
  • Incredibly detail-oriented with a creative working style
  • Strong project management skills
  • “Roll up your sleeves” mentality; can take even the smallest project and run with it to successful completion

Schedule

This role will be in-office on a hybrid schedule—team members will be expected to work in the office 3 days per week on Mondays, Wednesdays, and Thursdays. Hybrid roles also have the flexibility to work from anywhere for up to 4 weeks per year.

Pay

The expected base pay range for this position in the San Francisco area is $88,000 - $110,000, not inclusive of potential equity offering, bonus, or benefits.
