Reporting to the CEO, this role is for a forward-thinking, motivated, and proactive individual with a proven history of high performance to support the Chief Executive Officer. The position demands discretion, integrity, good judgment, and professionalism when dealing with senior executives both inside and outside the company. The ideal candidate will understand business priorities, anticipate needs, drive improvements, and manage sophisticated tasks and projects efficiently.

Responsibilities

  • CEO Administration Support:
    • Understand the CEO's priorities and workload to predict, prioritize, and recommend scheduling trade-offs.
    • Arrange all aspects of the CEO's travel, including flight bookings, accommodation, transportation, and itineraries.
    • Manage all expenses for the CEO in a proactive, fiscally responsible manner.
    • Provide project management support on special initiatives and strategic projects assigned by the CEO.
  • Executive Administration:
    • Capture executive meeting notes, identify action items, and initiate next steps.
    • Coordinate and maintain high-volume scheduling for meetings, events, appointments, speaking engagements, and travel arrangements.
    • Manage and coordinate board meeting planning to ensure flawless logistical execution.
    • Work closely with the ELT team to keep them informed of upcoming commitments and follow up as necessary.
    • Quickly schedule and set up internal and external meetings virtually, in person, or via other required formats.
    • Maintain a high level of discretion and confidentiality.
    • Adapt and resolve conflicts or blockers quickly and effectively while remaining highly responsive.
    • Collaborate across multiple departments to ensure consistent scheduling and communication.
  • Project Management:
    • Coordinate and enhance team events involving the CEO or other executive leadership.
    • Handle reservations for meeting rooms, equipment, and catering for executive trips and events.
    • Collaborate on special projects with senior leaders and coordinate company-wide initiatives and events.

Requirements

  • At least 5 years of experience supporting a C-level executive in a high-growth, constantly evolving environment.
  • Ability to manage sensitive and confidential information.
  • Outstanding time management and leadership skills with the ability to handle multiple priorities.
  • High ability to deliver clarity, agility, and operational excellence.
  • Excellent verbal and written communication skills.
  • Highly proficient with Microsoft Office Suite (PowerPoint, Excel, Word, etc.).
  • Adaptable to learning tools that enhance work performance.
  • Must have a growth mindset; critical to the success of this role.
  • Comfortable and able to thrive in a fully remote work environment.

Preferred: Experience in a tech/SaaS environment and experience supporting a CEO.

Pay

$125,000 USA/year base salary.
