About the role

The Executive Business Administrator serves as a strategic partner to the Chief Executive Officer, providing high-level executive support through calendar management, project coordination, and operational execution. This role requires exceptional organization, discretion, and proactive problem-solving to ensure the CEO remains focused on strategic priorities while supporting key company initiatives and executive communications.

Responsibilities

  • Understand, prioritize, and manage the CEO's workload and schedule, recommending adjustments as needed
  • Coordinate all CEO travel arrangements, including flights, accommodations, and ground transportation
  • Manage executive expense reporting with fiscal responsibility
  • Provide project management support for strategic initiatives led by the CEO
  • Capture executive meeting notes, track action items, and ensure timely follow-up
  • Coordinate high-volume scheduling for meetings, events, and speaking engagements
  • Plan and manage Board of Directors meeting logistics
  • Partner with executive leadership to monitor commitments, deadlines, and follow-up activities
  • Schedule and organize virtual and in-person meetings efficiently
  • Maintain the highest level of confidentiality when handling sensitive information
  • Resolve scheduling conflicts and operational challenges proactively
  • Coordinate scheduling across multiple departments to ensure alignment
  • Support executive leadership team events and company-wide initiatives
  • Arrange meeting spaces, equipment, catering, and related logistics
  • Assist with special projects and cross-functional initiatives as assigned

Requirements

  • Minimum 5 years of experience supporting C-level executives in fast-paced, high-growth organizations
  • Demonstrated ability to handle confidential and sensitive information with professionalism
  • Exceptional organizational, time management, and leadership skills
  • Strong operational execution and problem-solving abilities
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office Suite
  • Adaptability to learn and utilize new productivity tools and technologies
  • Growth mindset with a proactive, solutions-oriented approach
  • Ability to work effectively in a fully remote environment

Preferred Qualifications

  • Experience in a technology or SaaS organization
  • Previous experience directly supporting a Chief Executive Officer (CEO)

Pay

$125,000 USD annual base salary
