About the role

The Colorado Community College System (CCCS) is seeking an Executive Assistant to support the Vice Chancellor for Workforce Solutions & Innovation. The ideal candidate should have a proactive approach, strong administrative skills, and a passion for using technology to enhance operations.

Responsibilities

  • Manage various administrative responsibilities for the Workforce Solutions and Innovation division, including problem-solving and facilitating confidential communication.
  • Use AI tools to develop automated workflows to assist in organizing materials for the Vice Chancellor (VC).
  • Schedule and manage the VC's calendar, including appointments, meetings, conferences, and special events.
  • Aid in preparing the VC for external engagements, including logistical planning and document preparation.
  • Plan, organize, and execute division events such as summits, conferences, and council meetings.
  • Coordinate the budget for the Workforce Solutions & Innovation (WSI) Division, including preparing and submitting purchasing transactions.
  • Manage signature and approval processes, ensuring timely and accurate documentation.
  • Act as the primary point of contact for the WSI Division and serve as a liaison between the VC, System Office staff, college staff, and others.

Requirements

  • Bachelor’s degree or equivalent professional experience in administrative support.
  • Two years of professional experience providing executive or high-level administrative services, including managing projects, disseminating communications, and event coordination.

Qualifications

  • Proficiency in Microsoft Office 365 Suite products.
  • Ability to manage projects, track deliverables, and monitor deadlines.
  • Understanding of and commitment to diversity, equity, inclusion, and social justice.
  • Exceptional problem-solving and negotiation skills.
  • Strong written and verbal communication skills.
  • Creative thinking and organizational skills to develop practical plans.
  • Attention to detail, particularly in report and communication proofreading.
  • Knowledge of administrative processes and procedures in a large organization.
  • Ability to work collaboratively with teams to achieve results.
  • Positive attitude and ability to handle confidential information with integrity.
  • Experience with video conferencing software for virtual convenings.

Skills

  • Proficiency in AI-assisted productivity tools to streamline administrative workflows.

Benefits

Pay

The salary range for this position is $75,000 - $90,000 annually, depending on experience and qualifications.

Schedule

This position requires working in the office 3 days per week and remotely 2 days per week. Alternative work arrangements, including flexible schedules and hybrid-remote work, may be available.
