The Office of the Provost is seeking an Executive Assistant to support the Vice Provost for Engaged Learning. This role involves high-level administrative and executive support for co-curricular and applied learning initiatives across domestic and international arenas, empowering the university community to create impactful outcomes.

About the role

You will support the Vice Provost for Engaged Learning by performing a range of administrative and executive support activities in both domestic and global environments. This position works with faculty, staff, students, administrators, and external partners, reporting to the Vice Provost and the Chief of Staff. The role follows a hybrid schedule with onsite requirements 3 days a week in Ann Arbor, MI.

Responsibilities

  • Provide high-level administrative support to the Vice Provost, including maintaining complex calendars and scheduling meetings with multiple participants.
  • Coordinate with administrative support staff in the Vice Provost's other academic appointments.
  • Support meeting preparation by creating agendas, presentations, briefings, itineraries, post-meeting notes, and following up on action items.
  • Support the tech needs required for collaboration with university offices and global partners.
  • Manage the Vice Provost's email account with confidentiality and discretion, triaging inquiries and drafting correspondence on their behalf.
  • Manage email distribution lists for different groups and stakeholders.
  • Optimize the Vice Provost's workflow through schedule improvements.
  • Provide logistical support and coordinate projects related to Engaged Learning programs, working across a decentralized organization.
  • Partner with the Assistant Vice Provost and project managers on initiatives, including managing project plans and maintaining project files.
  • Assist with team hiring and recruiting, including coordination of interviews, onboarding, and offboarding.
  • Partner with business administrators on HR functions and liaise with the Vice Provost's reporting units.
  • Process and track financial transactions, including P-Card reconciliation, purchase orders, and reimbursements.
  • Provide backup support to other staff in the Provost's Office.

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • 5+ years of related administrative experience supporting top-level leaders or executives.
  • Knowledge and application of project management best practices.
  • Demonstrated skills in tracking action items, progress toward tasks, and prioritization.
  • Expert-level proficiency with Microsoft Office, Google Workspace, and email platforms.
  • Excellent communication skills with the ability to adapt correspondence for different stakeholders.
  • High level of accuracy and attention to detail in a fast-paced environment.

Schedule

Hybrid schedule with an expected recurring onsite presence 3 days a week in Ann Arbor, MI. Occasional additional onsite work may be required based on job needs.
