About the role

The Herberger Institute for Design and the Arts seeks a highly experienced Executive Assistant to provide strategic, proactive support to the Dean and the Executive Director for Institute Effectiveness. This role is ideal for a seasoned executive assistant who thrives in a fast-paced, complex environment and exercises strong judgment, discretion, and autonomy.

Responsibilities

  • Manage complex scheduling for the Dean and Executive Director, including coordinating meetings and travel arrangements.
  • Prepare and distribute meeting materials, draft correspondence, and manage communication with senior university leadership, faculty, staff, students, donors, and external partners.
  • Anticipate needs and ensure the Dean's time and attention are aligned with institutional priorities.
  • Handle confidential information with discretion and maintain high standards of professionalism and confidentiality.
  • Support the development and implementation of strategic initiatives and projects as directed by the Dean and Executive Director.

Requirements

  • Minimum of 5 years of relevant experience as an executive assistant or administrative support role.
  • Proven ability to handle multiple tasks simultaneously and prioritize effectively.
  • Strong organizational skills and the ability to manage a busy schedule.
  • Excellent written and verbal communication skills, with the ability to draft professional correspondence and presentations.
  • Experience working with senior university leadership and external partners.
  • Proficiency in Microsoft Office Suite, particularly Outlook and Word.

Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Experience in higher education or a similar complex organization is preferred.
