About the role
Sony Corporation of America (SCA) is seeking a dynamic Executive Assistant, SEPS to support high level executives and their team. The position will encompass a variety of administrative responsibilities requiring a high level of trust & confidentiality, excellent organizational & communication skills, and all-related interpersonal skills.
Responsibilities
- Provide executive support to senior-level executives and their teams
- Organize and support meetings including reserving conference rooms, sending meeting invitations, arranging technical support, placing catering requests, and preparing security access
- Maintain agenda and supporting materials for staff meetings; track and follow up on action items and communication threads across the team
- Distribute department mail; arrange messenger and overnight package services
- Arrange & manage travel including flights, hotels, and rental vehicles
- Create and prepare presentations, spreadsheets, and memos
- Maintain/archive files that may contain confidential information
- Create and launch documents for e-signatures
- Onboard/offboard personnel
- Cookise and manage facilities and IT requests
- Coordinate Facilities and IT requests
- Order/maintain department supplies; coordinate procurement and distribution of branded swag and promotional items
- Organize team-building events
- Assist in projects as needed
- Track SEPS contracts and approval flows
- Track and manage communication items including follow-ups, action items, and key correspondence across internal and external stakeholders
- Create monthly SEPS Newsletters and similar artifacts
- Help maintain a SEPS Calendar for key milestones, vacation schedules and workshops
- Perform other related duties as assigned
- Liaise and build relationships with other groups within the organization
Qualifications
- College degree preferred
- Minimum of 5 years executive level administrative experience
- Organized and detail-oriented with the ability to plan ahead and anticipate needs of the team
- Ability to work under pressure, multitask, and problem solve
- Excellent communication skills, both written and oral
- Collaborative team player, working professionally with other departments and assistants
- Fully fluent in Japanese required
- Proficient in MS Office: Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint, OneNote
- Must be authorized to work in the United States
Pay
The target annualized base salary range for this position is $75,000 to $83,000. The individual will be paid hourly and eligible for overtime. In addition to the annual base salary, this role has an annual bonus target of 5%.
Schedule
This role is on a hybrid schedule with 3 days per week in the San Diego office.
