Executive Assistant/Paralegal to Managing Partner

About the role

The Executive Assistant/Paralegal will support the Managing Partner of a prestigious plaintiff personal injury law firm located in the Houston area. The firm offers an outstanding work culture and paid parking.

Responsibilities

  • Manage an active and complex calendar, including court appearances, depositions, client meetings, and business development events.

  • Cookordinate schedules with clients, opposing counsel, and court personnel.

  • Proactively adjust appointments and prioritize urgent matters as they arise.

  • Monitor case deadlines and court schedules to ensure timely compliance and avoid conflicts.

  • Act as the primary point of contact for referral attorneys and potential new cases.

  • Conduct preliminary evaluations of new case inquiries based on firm criteria.

  • Oversee intake processes including conflict checks and initial client interviews.

  • Maintain detailed records of referral sources, case outcomes, and follow-up actions.

  • Communicate case decisions (acceptance or declination) in a timely and professional manner.

  • Serve as a trusted liaison between clients and the Managing Partner.

  • Manage client communications with professionalism, empathy, and discretion.

  • Coordinate client meetings, consultations, and intake procedures.

  • Ensure client confidentiality is maintained in all communications and documentation.

  • Draft and edit correspondence, legal documents, reports, and presentations.

  • Maintain organized and up-to-date electronic and physical filing systems.

  • Arrange complex travel itineraries and manage expense reporting.

  • Assist with billing, invoicing, and confidential firm operations.

Requirements

Candidates must have at least 5+ years of legal secretary experience in a personal injury law firm based in Texas.

Qualifications

Strong organizational skills, excellent communication abilities, and attention to detail are essential. Proficiency in Microsoft Office Suite is required.

Skills

Exceptional interpersonal skills, ability to handle sensitive information confidentially, and strong administrative and legal support skills are required.
