About the role
We're seeking an Executive Assistant who can thrive in a fast-paced, results-oriented environment. This role requires strong organizational skills, the ability to prioritize tasks, and a keen attention to detail.
Responsibilities
- Calendar Management: Coordinate and manage the leader’s schedule, resolve calendaring conflicts, and ensure timely appointments and meetings.
- Communication: Serve as the primary point of contact, handle email correspondence, and respond to inquiries promptly and professionally.
- Meetings & Events: Secure event space, handle budgeting, catering, and agenda planning, and ensure meeting objectives are met.
- Travel Arrangements & Expense Report Management: Make travel arrangements and complete expense reports in a timely manner.
- Document Preparation/Organization, Presentation & Information Sharing: Draft, review, organize documents, reports, and presentations, and present/share them as needed.
- Project Support: Assist in planning and executing special projects, ensuring deadlines are met and objectives are achieved.
- Confidentiality: Maintain the highest level of confidentiality regarding sensitive and proprietary information.
- Office Environment & Teammate Onboarding: Onboard new hires, prepare workspaces, equipment, and office supplies, and schedule meet and greets with the team.
- Culture Building & Team Meeting/Offsite Support: Coordinate team/company events, including staff meetings, team-building activities, offsites, and other functions.
Requirements
- Bachelor's degree in business or related field.
- Minimum of 3 - 5 years of administrative work experience.
- At least 1 year of experience supporting a Sr. Director, VP or higher-level executive.
- Excellent verbal & written communication skills.
- Strong reading, writing, math, and communication skills.
- Proven experience and success working with a variety of high-profile stakeholders.
- Exceptional attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Exercise discretion and independent judgement when handling confidential and sensitive information.
- Previous experience with event planning.
- Experience with budget creation/management and planning proposals.
- Proficient in Microsoft Office Suite (MS Outlook, PowerPoint, Word and Excel).
- Experience with virtual meeting tools (Zoom / MS Teams).
- Experience with AI tools like Chat GPT or Microsoft Copilot.
- Prior experience handling sensitive and confidential information.
- Previous Nike work experience is strongly preferred.
