About the role

The Global Market Access Executive Assistant provides administrative support to the Senior Vice President, Global Market Access, and their direct support team. Key responsibilities include calendar management, meeting coordination, expense reconciliation, and travel arrangements.

Responsibilities

  • Proactively manage the SVP's calendar, anticipating and solving scheduling conflicts.
  • Coordinate travel logistics, including conference registrations, flights, hotels, and ground transportation, and reconcile expense reports.
  • Plan and execute on and offsite meetings, including catering, rooming lists, AV requests, and team builders.
  • Collaborate with external partners to organize meetings and events.
  • Implement and maintain an efficient administrative workflow, including process improvements, vendor management, and contract administration.
  • Manage ABAC Risk Assessment Platform for new vendor due diligence.
  • Support Strategic Sourcing and Procurement in contract negotiations and event management.
  • Reconcile expenses for the SVP and departmental purchases.
  • Onboard new employees, including ordering equipment and supplies.
  • Handle miscellaneous administrative tasks as needed.

Requirements

  • Proficient in MS Office applications.
  • Advanced organizational skills and attention to detail.
  • Ability to learn new technologies and systems quickly.
  • Experience in a fast-paced, administrative environment.
  • Excellent written and verbal communication skills.
  • Ability to interact with all levels of employees and maintain confidentiality.
  • Strong initiative and drive to complete tasks.
  • Good organizational skills and ability to understand Commercial Business Unit priorities.
  • Adaptable learner with the ability to shift gears and make decisions during change or ambiguity.
  • Good judgment and willingness to go above and beyond.

Qualifications

  • Associate degree or Bachelor's degree preferred.
  • Minimum of 5-10 years of relevant administrative experience.

Skills

  • Proficiency in MS Office.
  • Knowledge in SharePoint, Concur, Oracle, iCertis, and MS Teams (preferred).
