Responsibilities
- Provides comprehensive administrative support to one or more executive leaders, exercising sound judgement, discretion, and professionalism.
- Manages complex calendars, scheduling priorities, travel arrangements, and meeting logistics.
- Captures and follows up on executive correspondence, prioritizes requests, and ensures timely follow-up on action items.
- Represents the executive professionally when interacting with internal and external stakeholders.
- Coordinates executive correspondence, prioritizes requests, and ensures timely follow-up on action items.
- Supports strategic initiatives, operational priorities, committees, and programs within the executive’s area of responsibility.
- Affords administrative and project coordination support for strategic initiatives, operational priorities, committees, and programs within the executive’s area of responsibility.
- Prepares reports, presentations, dashboards, and other materials to support executive decision-making.
- Consistently communicates with internal and external stakeholders on behalf of the executive(s).
- Edits and proofreads communications for grammar and spelling, in addition to meeting behavioral standards.
- Handles technology proficiency in using MS Office tools, such as Word Processing, PowerPoint, and other MS Office applications.
- Handles equipment handling, including using functions of the Multi-Functional Printer/Copier/Scanner, using desktop tools like laptops and smartphones, and using display devices within the board or conference rooms.
- Exhibits customer service skills, demonstrating patience, professionalism, and attentiveness to all team members.
- Plans and prepares for meetings, structuring agendas, meeting materials, and invitation lists.
- Works collaboratively with other executive assistants, developing strong listening and cooperation skills.
- Exercises self-motivation, working independently with minimal oversight and demonstrating problem-solving skills.
- Manages filing and paper management, creating systems for easy retrieval of documents.
- Investigates and summarizes various topics requiring internet or library searches.
Qualifications
- Associate's degree, or equivalent, in Business, Finance, or related field, or equivalent experience.
- Four years of executive assistant experience, or equivalent.
- Strong Microsoft Office skills, including PowerPoint, Excel, Outlook, etc.
