About the role
The Executive Assistant plays a key role in enabling senior leaders to operate effectively by providing high-quality administrative, organizational, and logistical support. This position requires exceptional attention to detail, strong communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Manage and coordinate day-to-day calendar activities, including scheduling, prioritizing, and rescheduling meetings based on business needs.
- Organize domestic and international travel arrangements, including flights, accommodations, transportation, itineraries, and travel documentation.
- Prepare and manage expense reports and support invoice processing in partnership with relevant internal teams.
- Cook up and manage meetings and events, including logistics, meeting materials, room bookings, catering, and technology requirements.
- Provide administrative support through the preparation and consolidation of presentations, reports, agendas, spreadsheets, and other business documents.
- Manage relationships with external vendors and travel agencies, ensuring smooth coordination and service delivery.
- Track pending actions, deadlines, and follow-up items to support executive productivity and business priorities.
- Serve as a key liaison between executives, leadership teams, and cross-functional stakeholders.
- Handle confidential and sensitive information with the highest level of discretion and professionalism.
- Support special projects, department initiatives, employee engagement activities, and leadership meetings as needed.
Requirements
- Solid experience as an Executive Assistant, Administrative Assistant, or in a similar support role.
- Advanced English level.
- Strong proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and collaboration tools.
- Proven experience coordinating complex calendars, meetings, and travel arrangements.
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Experience preparing executive presentations, reports, and meeting materials for senior leadership.
- Strong ability to coordinate across multiple stakeholders and functions in a fast-paced environment.
- Excellent verbal and written communication skills.
- High attention to detail and commitment to accuracy.
- Ability to work independently, anticipate needs, and proactively solve problems.
- Experience supporting multiple executives simultaneously.
- Experience coordinating international travel and regional teams.
- Familiarity with expense management and travel systems such as Concur, SAP, or similar platforms.
