Key Responsibilities
- Manage complex calendars, scheduling, and meeting coordination for senior executives.
- Cover domestic and international travel arrangements, including itineraries, accommodations, transportation, and related logistics.
- Screen communications, prioritize requests, and ensure timely follow-up on critical matters.
- Prepare agendas, presentations, reports, correspondence, and meeting materials.
- Attend meetings as needed, capture key discussion points, and track action items.
- Maintain organized records, files, and documentation.
- Monitor deadlines, projects, and recurring deliverables to ensure timely completion.
- Cover administrative and operational coordination activities, such as coordinating activities and communication across multiple departments and stakeholders.
- Afford expense reporting, invoice processing, and administrative tracking activities.
- Support internal initiatives, special projects, and process improvement efforts.
- Maintain business calendars, project timelines, and accountability trackers.
- Communicate professionally with internal and external stakeholders.
- Facilitate communication between leadership, employees, vendors, and business partners.
- Draft, edit, and proofread business correspondence and presentations.
- Support leadership in maintaining strong relationships with key stakeholders.
- Coordinate logistics, materials, catering, and scheduling for executive meetings and events.
- Track project milestones and ensure stakeholders remain informed on progress.
- Support onboarding activities and other organizational programs as needed.
- Handle highly confidential information with discretion and sound judgment.
- Provide administrative support for sensitive business matters as required.
Qualifications
- Minimum of 8 years of experience supporting senior executives or executive leadership teams.
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
- Exceptional organizational, planning, and time management skills.
- Strong written and verbal communication skills.
- Advanced proficiency with Microsoft Office Suite and business technology platforms.
- Experience preparing executive presentations, reports, and communications.
- Ability to exercise sound judgment and maintain strict confidentiality.
- Strong attention to detail and commitment to accuracy.
- Prior proven ability to work independently with minimal supervision.
