About The Role

We are seeking an experienced, proactive, and adaptable Executive Assistant to support two Vice Presidents and one Senior Director within the Platform Services and Emerging Technologies Organization. This role requires a highly organized individual who can manage complex calendars, coordinate international travel, and handle multiple priorities with a sense of urgency. The ideal candidate will be comfortable working in a fast-paced, dynamic environment, often dealing with ambiguity, and will possess excellent communication skills. Experience working with developers and engineers, as well as familiarity with AI tools, is a plus. The Executive Assistant will collaborate closely with Chiefs of Staff and other assistants across the division to ensure seamless support and operational efficiency.

Qualifications

  • 6+ years of experience supporting senior executives in a multinational, fast-paced environment
  • Exceptional organizational and time management skills
  • Proficiency in Microsoft Office Suite: SharePoint, PowerPoint, Teams, OneNote, Word, Excel
  • Experience managing complex calendars across multiple time zones
  • Proven ability to coordinate international travel and expense reporting
  • Strong project and event management skills
  • Excellent interpersonal and communication skills
  • Proactive approach with a high level of attention to detail
  • Able to prioritize tasks effectively and work under pressure
  • Experience working with developers and engineers is preferred
  • Familiarity with AI tools such as ChatGPT, Claude, etc., is a plus
  • Independent problem-solving skills and ability to seek clarity when needed
  • Trustworthy, collaborative, flexible, and accountable

Responsibilities

  • Manage and coordinate busy calendars for executives across three US time zones, ensuring optimal scheduling and priority alignment
  • Handle complex travel arrangements, including international trips, accommodations, and expense reports
  • Cook up and facilitate team offsite meetings and external engagements with partners, vendors, and stakeholders
  • Serve as the first point of contact for internal and external communications, screening and prioritizing inquiries
  • Proactively solve scheduling conflicts and last-minute meeting requests with urgency and professionalism
  • Track and initiate purchase orders, adhering to procurement policies and budget guidelines
  • Aid with project management tasks, including tracking deadlines and deliverables
  • Collaborate with Chiefs of Staff and other assistants to ensure seamless support across the division
  • Support event planning and coordination for team initiatives and external events
  • Utilize AI tools and collaboration platforms to enhance productivity and communication
