Executive Assistant

Key Responsibilities

  • Own the master litigation calendar — deadlines, hearings, CMCs, MSJ dates, depositions, statutory lemon law timelines
  • Draft and coordinate e-filing of pleadings, motions, discovery, subpoenas
  • Manage deposition logistics, service of process, and vendor/court coordination
  • Maintain audit-ready case files and trial prep materials

Executive Support

  • Manage Outlook calendars, resolve scheduling conflicts proactively
  • Triage correspondence and draft professional communications on behalf of leadership
  • Track action items across cases so nothing slips
  • Liaise with courts, opposing counsel, clients, and vendors

Compliance Support

  • billing/time-entry review and fee motions
  • Ensure zero missed filing deadlines, flagging risks early

You anticipate next steps, track deadlines relentlessly, and draft clean correspondence with minimal edits.

Requirements

  • 3-5 years of experience as an Executive Assistant at a law firm — prior law firm EA experience is mandatory
  • Proven track record managing litigation deadlines/court calendars in a high-volume environment
  • Strong legal drafting and Outlook calendaring skills
  • Exceptional attention to detail; MS Office proficiency
  • Able to multitask independently in a fast-paced environment
  • Professional discretion with confidential matters

Preferred

  • Consumer protection, lemon law, PI, or civil litigation background
  • CA state/federal e-filing experience (CM/ECF, One Legal)
  • Legal docketing/case management software familiarity
