Responsibilities

  • Cook up executive calendars by arranging appointments, prioritizing scheduling needs, and resolving conflicts across multiple commitments.
  • Plan meetings and events by securing logistics, preparing agendas, assembling materials, and documenting key discussion points and follow-up items.
  • Organize business travel, expense-related documentation, and related arrangements using tools such as Concur when needed.
  • Draft, proofread, and format presentations, reports, and business correspondence for internal and external audiences.
  • Serve as a central point of contact between senior leaders and departments, clients, or partners to support timely communication and alignment.
  • Maintain accurate digital and physical records so important documents remain accessible, current, and properly organized.
  • Protect sensitive information by exercising discretion and following appropriate confidentiality standards in all interactions.
  • Aid in research, reporting, and special projects that support executive decision-making and broader business objectives.

Requirements

  • At least 3 years of experience in an Executive Assistant or comparable high-level administrative support role.
  • Strong verbal and written communication skills with the ability to interact professionally with leadership and stakeholders.
  • Demonstrated ability to manage calendars, correspondence, conference calls, and shifting priorities with accuracy and efficiency.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience using business support tools such as Cisco Webex Meetings, Concur, CRM platforms, or related systems is preferred.
  • Excellent organizational skills, sound judgment, and the ability to work independently in a fast-paced environment.
  • Prior exposure to systems such as ADP, Kronos Timekeeping System, or About Time is a plus.

Qualifications

Preferably a Bachelor’s degree.
