Responsibilities
- Support senior leaders across creative, design, production, business development, and brand strategy functions by managing day-to-day administrative needs.
- Oversee complex calendars, arrange meetings across stakeholders and time zones, and resolve scheduling conflicts with careful prioritization.
- Organize domestic and international travel plans, including transportation, lodging, and detailed itineraries that align with executive schedules.
- Cook up logistics for major industry events and leadership gatherings, including scheduling, travel support, and on-site assistance when needed.
- Create, edit, and format presentations, reports, and executive correspondence with accuracy and a high standard of quality.
- Submit and reconcile expense reports promptly while ensuring compliance with company guidelines.
- Facilitate recurring leadership and department meetings by managing agendas, scheduling, and related logistics.
- Collaborate with project managers and cross-functional partners to keep priorities aligned and workflows coordinated.
- Aid in onboarding activities by arranging orientation support, adding new team members to meetings and collaboration platforms, and handling related administrative tasks.
- Use AI-enabled tools and other emerging technologies to improve efficiency, streamline workflows, and enhance executive support operations.
Requirements
- Bachelor’s degree or an equivalent combination of education and relevant experience.
- At least 5 years of experience in an Executive Assistant or comparable administrative support role.
- Demonstrated success supporting multiple executives while managing competing priorities and deadlines.
- Strong background in calendar management, executive meeting coordination, and domestic and international travel planning.
- Excellent written and verbal communication skills, paired with strong attention to detail and sound judgment when handling confidential information.
- Proficiency in Microsoft Office applications, including Outlook, PowerPoint, Excel, Word, and Teams.
Qualifications
- Ability to work on-site in Minneapolis, Minnesota on Tuesdays, Wednesdays, and Thursdays, with flexibility for additional in-office support as needed.
- Willingness to travel when required and ability to assist with physical meeting setup tasks as part of general office coordination.
