Responsibilities

  • Provide direct administrative support to executive leaders, including managing schedules, preparing materials, and coordinating key meetings.
  • Welcome visitors and serve as the first point of contact for the office, creating a welcoming and friendly experience for guests and staff.
  • Oversee day-to-day office operations by maintaining supplies, supporting facility needs, and helping keep shared spaces organized and functional.
  • Arrange board meetings and other executive gatherings, including logistics, documentation, and presentation preparation.
  • Create, format, and update PowerPoint presentations, files, and other business documents with a high level of accuracy and quality.
  • Maintain organized digital records, folders, and internal information resources so documents are easy to access and properly managed.
  • Support company intranet administration by keeping content current and helping employees navigate internal information tools.
  • Aid in travel coordination for executives as needed, including booking itineraries and managing related arrangements.
  • Respond to changing priorities with a flexible, team-oriented approach and step in wherever support is needed across the office.

Requirements

  • Proven experience in executive support, office management, or a similar administrative role.
  • Strong calendar management skills with the ability to coordinate meetings and shifting priorities effectively.
  • Experience arranging travel and handling related logistics for executives or business teams.
  • Advanced computer proficiency, including creating effective presentations and managing digital documentation.
  • Excellent organizational skills with close attention to detail and the ability to maintain structured records.
  • Strong interpersonal skills and the ability to work effectively with employees, leadership, and visitors at all levels.
  • An experienced, dependable, and adaptable approach in a dynamic onsite environment.

Qualifications

  • Highly skilled with technology.
  • Comfortable handling both executive support and office operations in a growing company.
