About the role
The Executive Assistants (EAs) at our firm are expected to be creative problem solvers for the Senior Partner and/or Partner whom they support. They collaborate with their Partners to optimize their time, build trust-based relationships within their network, and deliver high-quality end products.
Responsibilities
- Organize and maintain detailed and complex calendars for Senior Partners and other team members.
- Plan and coordinate client and internal meetings, conference calls, conferences, events, and lunches/dinners.
- Coordinate complex international and local travel arrangements, manage travel logistics, and accommodate individual preferences.
- Track and manage all incoming communications, respond to correspondence that does not require the personal attention of the Partner, and assume responsibility for planning, organizing, and executing projects with minimal guidance.
- Act as an informed deputy, interact with clients and other key stakeholders, foster strong relationships with clients and their administrative contacts, and collaborate with Executive Assistant Managers and department members to ensure smooth workflow.
- Organize and maintain all client and internal files using the firm's authorized system, provide backup coverage as needed, and coordinate events for both internal and external initiatives.
- Prepare and submit timesheets and expenses in accordance with deadlines, manage and monitor client accounting statements and invoices upon request, and handle miscellaneous tasks such as printing, copying, mailing, and other duties as assigned.

Qualifications
- An undergraduate degree is preferred.
- At least 3 years of supporting senior-level executives.
- Outstanding administrative and organizational skills; detail-oriented; able to prioritize and multitask; strong ownership evident through responsibility and accountability for end product; highly proactive mindset.
- A highly professional presence on telephone, email, and all other work-related communications platforms.
- Strong typing and proofreading skills; ability to produce typed documents quickly and accurately.
- Computer literate, including strong email and calendaring skills.
- Excellent judgment and resourcefulness.
- Strong technical skills, including proficiency in PowerPoint, Word, and Excel.
- Excellent interpersonal skills; positive attitude; ability to build relationships within the firm and with client executives and external experts.
- The ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks; ability to work independently.
- The ability to work efficiently and effectively in a fast-paced, deadline-driven, high-pressure environment.
- A professional commitment to client service; comfortable working in a team setting with a client service "can do" attitude.
