Executive Assistant
About the role
The Executive Assistant supports the President & CEO, Executive Vice Presidents, and General Counsel in a fast-paced environment, assisting with key business initiatives and serving as a primary point of contact for internal and external constituencies.
Responsibilities
- Handle a wide range of executive support-related tasks involving administrative, research, and project management responsibilities.
- Manage complex calendars and scheduling for executive leadership.
- Serve as a communication liaison between executive leadership, clients, and internal stakeholders.
- Prepare correspondence, reports, presentations, and other business documents.
- Cook up and execute executive assignments, meetings, events, and special projects.
- Supervise the Corporate Administrator.
- Aid in the management of legal and insurance claims.
- Maintain and manage organizational licensing, permitting, and registration requirements.
- Support department initiatives including project risk audits and related activities.
- Provide structure and practical support for company initiatives.
- Assist in coordinating company events and executive functions.
- Support Giving Back and community engagement efforts.
- Maintain corporate documentation, policies, and Standard Operating Procedures.
Requirements
- 4-6 years of providing executive-level assistance, operations support, project management, or event planning experience required.
- Previous experience supporting senior executives in a fast-paced corporate environment.
- Excellent people management skills; previous supervisory experience preferred.
- High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with CRM, ERP, or related business systems is a plus.
- Innate desire to produce high-quality work with a strong focus on detail and accuracy.
- Exceptional written, verbal, and interpersonal communication skills.
- Ability to exercise sound judgment in a variety of situations.
- Ability to manage multiple priorities and deadlines with minimal supervision.
- Experience in construction, legal administration, risk management, or corporate operations is beneficial.
Qualifications
- High school diploma or equivalent.
- Bachelor’s degree preferred.
Skills
- Strong organizational and time management skills.
- Excellent interpersonal and communication skills.
- Ability to handle confidential information with discretion.
- Proficiency in Microsoft Office Suite.
