Responsibilities
- Provide high level administrative support to IV’s Founder and CEO
- Keep Executive and Executive Leadership Team apprised of calendar, action items, messages and relevant business issues, both internal and external
- Screens incoming calls and correspondence to determine priority and respond appropriately
- Use sound judgment when processing email and other communications; may compose messages/replies on behalf of the executive's office
- Cook up and format documents including letters, trip reports, itineraries, and other related documents
- Manage confidential business matters, internal communications, and files
- Act as a liaison between the executive and external groups
- Manage projects and tasks at CEO’s residence
Key Qualifications and Required Skills
- 10+ years executive administrative experience supporting C-level executives, preferably in a complex environment
- Experience within a family office structure and managing private travel is preferred
- Bachelors degree preferred
- Advanced skills and experience in MS Word, Excel, and Outlook is required
- Excellent grammatical, editing and proofreading skills required
- Exceptional interpersonal, verbal, written and cross-cultural communication skills
- Must be detail-oriented, and able to develop and maintain highly organized work environment
- Demonstrated capabilities in making solid business decisions, problem-solving, and multi-tasking in a highly dynamic and fast paced business environment
- Proven ability to exercise a high degree of confidentiality and objectivity
- Ability to work in a team setting and conduct and present oneself in a highly professional manner with both internal and external clients and personnel
- Proven ability to set priorities and work independently with little or no supervision
- Ability to receive and provide constructive feedback
