Responsibilities

  • Provide high level administrative support to IV’s Founder and CEO
  • Keep Executive and Executive Leadership Team apprised of calendar, action items, messages and relevant business issues, both internal and external
  • Screens incoming calls and correspondence to determine priority and respond appropriately
  • Use sound judgment when processing email and other communications; may compose messages/replies on behalf of the executive's office
  • Cook up and format documents including letters, trip reports, itineraries, and other related documents
  • Manage confidential business matters, internal communications, and files
  • Act as a liaison between the executive and external groups
  • Manage projects and tasks at CEO’s residence

Key Qualifications and Required Skills

  • 10+ years executive administrative experience supporting C-level executives, preferably in a complex environment
  • Experience within a family office structure and managing private travel is preferred
  • Bachelors degree preferred
  • Advanced skills and experience in MS Word, Excel, and Outlook is required
  • Excellent grammatical, editing and proofreading skills required
  • Exceptional interpersonal, verbal, written and cross-cultural communication skills
  • Must be detail-oriented, and able to develop and maintain highly organized work environment
  • Demonstrated capabilities in making solid business decisions, problem-solving, and multi-tasking in a highly dynamic and fast paced business environment
  • Proven ability to exercise a high degree of confidentiality and objectivity
  • Ability to work in a team setting and conduct and present oneself in a highly professional manner with both internal and external clients and personnel
  • Proven ability to set priorities and work independently with little or no supervision
  • Ability to receive and provide constructive feedback
