HOW YOU’LL ADVANCE OUR MISSION | POSITION OVERVIEW
The Executive Assistant provides high-level administrative, operational, and analytical support to the Chief Philanthropic Officer (CPO) and the broader Philanthropic Advancement team. This role requires a proactive, detail-oriented professional who is tech-savvy, highly organized, and capable of handling complex reporting, data management, and executive communications with discretion and accuracy.
YOUR UNIQUE IMPACT | ROLES & RESPONSIBILITIES
- Executive Support
- Provide comprehensive administrative support to the Chief Philanthropic Officer, including calendar management, meeting coordination and expense reporting.
- Prepare agendas, take meeting notes, and track action items to ensure timely follow-up.
- Serve as a liaison between the CPO, staff, donors, and external stakeholders.
- Data Management & Reporting
- Manage monthly reports using Raiser's Edge (RE) and Financial Edge (FE).
- Ensure the accuracy and integrity of donor and financial data across systems.
- Generate dashboards, reports, and summaries to support fundraising strategies and leadership decision-making.
- Technical & Analytical Support
- Develop and maintain spreadsheets, including creating charts, graphs, and data visualizations to present insights clearly.
- Aid in compiling data for presentations, board reports, and donor communications.
- Identify opportunities to improve reporting processes and data workflows.
- Documentation & Quality Control
- Review prepared documentation, reports, and correspondence for accuracy, completeness, and consistency.
- Edit and format materials for executive-level presentations and external communications.
- Maintain organized records and ensure compliance with internal standards and policies.
- Team Support
- Assist with team performance reporting and presentations.
- Provide administrative and project support to the Philanthropy team as needed.
- Cook up departmental meetings, events, and special projects.
- Aid in donor engagement activities and stewardship efforts when appropriate.
- Serves as part of the active rotation for reception coverage, which may include staffing during opening, morning & afternoon breaks, lunches and additional coverage, as needed.
WHAT YOU’LL NEED FOR SUCCESS | QUALIFICATION
- 5 years+ of administrative support experience
- Experience with Blackbaud or other CRM or Power BI preferred.
- Advanced proficiency in Microsoft Office applications (Word, Excel, Outlook, & PowerPoint)
- Strong project management and organizational skills, detail oriented
- Responsive, service-oriented workstyle
- Strong executive function skills
- Ability to multi-task, be adaptable and work under pressure and maintain deadlines
- Ability to work both independently and as part of a team
- Strong written and verbal communication skills
