Primary Responsibilities
- Serve as the first point of contact for the school: answer and route phone calls, greet visitors, and respond to general email inquiries warmly and professionally.
- Draft, format, and distribute school communications including family newsletters, announcements, reminders, and updates across email, phone, text messaging, and social media platforms.
- Support translation and interpretation coordination so that communications are accessible to all families.
- Maintain and update content on the school website and communication platforms.
- Prepare correspondence, memos, and documents on behalf of the Executive Director.
- Record and monitor daily student attendance in the student information system, ensuring accuracy and timeliness.
- Contact families regarding absences and tardies; document communications and follow-ups.
- Track attendance patterns and flag chronic absenteeism to the Executive Director and Director of Student Success, in alignment with school policy and Minnesota attendance/truancy requirements.
- Prepare attendance reports for internal use and for state reporting (e.g., MARSS) in coordination with school leadership and finance/compliance partners.
- Process enrollment, withdrawal, and records requests, and maintain accurate student files.
Executive & Administrative Support
- Manage the Executive Director's calendar, schedule meetings, and coordinate appointments with staff, families, board members, vendors, and external partners.
- Prepare agendas, materials, and minutes for leadership; assist with board meeting logistics, postings, and compliance with Minnesota Open Meeting Law requirements.
- Maintain organized physical and digital filing systems for school records, contracts, and compliance documents.
- Aid in data collection and reporting for state and authorizer compliance requirements.
- Support HR administrative tasks such as onboarding paperwork, background check tracking, and maintaining personnel files.
- Process incoming and outgoing mail, purchase orders, invoices, and expense documentation in coordination with finance partners.
- Order and manage office and school supplies; coordinate with vendors and service providers.
- Cook up logistics for school events, field experiences, testing days, and family engagement activities.
- Maintain visitor management and front-office security procedures.
- Support student health and safety routines as needed (e.g., contacting families, maintaining emergency contact information).
- Perform other administrative duties as assigned by the Executive Director.
Qualifications
- High school diploma or equivalent; associate or bachelor's degree preferred.
- 2+ years of administrative, office management, or executive support experience (school setting preferred).
- Excellent written and verbal communication skills.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Proficiency with standard office technology (Google Workspace) and willingness to learn school systems, including student information systems.
- Professional discretion and ability to handle confidential student, family, and personnel information.
- A warm, welcoming demeanor with students, families, staff, and visitors.
- Successful completion of a criminal background check.
