Responsibilities

  • Maintain and manage executive schedules, including scheduling meetings, appointments, and travel arrangements.
  • Handle phone calls, emails, and correspondence with professionalism and confidentiality.
  • Arrange and coordinate meetings, including preparing agendas, documenting meeting notes, and ensuring follow-up on action items.
  • Organize domestic and international travel plans, including flights, accommodations, and itineraries.
  • Prepare, review, and edit reports, presentations, and other documents.
  • Maintain organized records and filing systems.
  • Assist in the planning, execution, and tracking of various projects.
  • Provide research, data analysis, and support as needed.
  • Prepare and submit expense reports in a timely manner.
  • Track and manage expense budgets for executive-related activities.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Liaise with key stakeholders, clients, and vendors on behalf of executives.
  • Build and maintain relationships within and outside the organization.

Requirements

  • Master’s degree in business administration or a related field (preferred).
  • Proven experience as an Executive Assistant or similar role, supporting senior-level executives.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with other productivity tools.
  • Ability to work independently, take initiative, and anticipate executive needs.
  • High level of integrity and discretion in handling confidential information.
  • Strong attention to detail and ability to work under tight deadlines.

Preferred Skills

  • Familiarity with project management tools and software.
  • Experience in event planning or coordination.
  • Ability to adapt to a fast-paced, dynamic work environment.
  • Knowledge of specific industry or sector (if applicable).
