What You'll Do
Avalara is looking for an Executive Assistant to support C-suite leaders within our Technology, Product, and Strategy organizations. Reporting to the Manager of Executive Assistants, you will be a trusted partner to executive leadership, helping create focus, understanding, and execution across main priorities. This is a remote position in the United States and offers the opportunity to work with leaders shaping Avalara's technology, products, AI-driven innovation, and long-term strategy. You'll bring structure to complex priorities, build relationships across the business, and help leaders operate at their best while contributing to the energy and culture that make Avalara a great place to work.
What Your Responsibilities Will Be
- Manage complex executive calendars, priorities, communications, and scheduling needs.
- Cook up leadership meetings, offsite events, travel, and executive activities from planning through execution.
- Prepare executives for meetings by organizing agendas, materials, logistics, and follow-up actions.
- Be a primary contact for executive team members and build trusted relationships across the organization.
- Support presentations, expense management, and other administrative activities that help leaders accomplish priorities.
- Cook up special projects by managing partners, timelines, communications, and action items.
- Partner with Chiefs of Staff on executive operating rhythms, including staff meetings, leadership reviews, and planning processes.
- Track main deliverables and help ensure follow-through on commitments and decisions.
- Identify opportunities to improve processes, increase efficiency, and enhance team effectiveness.
- Develop an understanding of Avalara's technology, AI automation, products, and priorities to better support executive teams.
What You’ll Need To Be Successful
- 5+ years of experience supporting senior leaders or executives.
- Experience managing executive calendars, travel, meetings, and confidential information with.
- Experience supporting leaders in technology, product, engineering, strategy, SaaS, or related activities.
- Experience coordinating projects, executive meetings, events, or offsite engagements from planning through completion.
- Demonstrated curiosity, including an interest in AI technologies, product development, business strategy, and identifying opportunities to improve processes and team effectiveness.
Pay Range Details
- Colorado: $88,000 - $140,800 (annually)
- Washington: $88,000 - $155,700 (annually)
- California: $88,000 - $155,700 (annually)
- NYC: $88,000 - $155,700 (annually)
