Executive Assistant
Job Description
The Executive Assistant performs a variety of administrative tasks and supports our company's senior-level management. One contributes to the efficiency of the business by providing personalized and timely support to executive members. Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Acts as the point of contact among executives, employees, clients and other external partners.
Position Responsibilities
- Calendar & Scheduling: Manage complex calendars; schedule meetings across time zones, Coordinate internal/external meetings, board meetings, and offsites, Prioritize and resolve scheduling conflicts, Arrange flights, hotels, ground transportation, Prepare detailed travel itineraries and trip packets, Handle changes, cancellations, and travel issues, Process expense reports and purchase requests
- Communication & Correspondence: Draft, edit, and proofread emails, memos, and presentations, Screen and prioritize incoming messages and calls, Act as a point of contact between the executive and staff/clients
- Meeting Support: Prepare agendas and materials, Take meeting notes and track action items, Follow up on deliverables and deadlines
- Information & Task Management: Maintain files, records, and contact lists, Track key projects, deadlines, and follow-ups for the executive, Help organize information for decision-making
- Confidential & Strategic Support: Handle sensitive information with discretion, Assist with preparation for leadership meetings, reviews, Help the executive stay aligned with priorities and commitments
Qualifications
- Bachelor's degree in relevant discipline is highly desired or equivalent combination of education, training, and experience
- High school diploma or GED equivalent is required, Minimum of 5 – 8 years' experience as an Executive Assistant or or equivalent combination of education, training, and experience
- Requires a professional certification or equivalent experience in working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dignities
- Maintains a high level of discretion and confidentiality, Effective communication skills (written and verbal) as well as interpersonal skills
- Demonstrates high level of customer service and professionalism, Experienced and proficient with MS Office (Word, Excel, PowerPoint & Outlook) and demonstrates strong computer skills
- Occasionally may be required to travel within the Continental U.S., Must have a valid driver's license and clean DMV record

Physical Demands
Ability to work in an office environment (Constant) Required to sit and stand for long periods; talk, hear, and use hands and fingers to operate a computer and telephone and keyboard (Frequent)

Salary Range
The Salary Range For This Role Is $89,000 - $135,750
