What Will You Do?
- Provide administrative support to the department's senior leadership team.
- Cookordinate and manage projects, from initiation to closure.
- Identify and mitigate project risks and issues.
- Work with project teams to develop project schedules and manage project budgets.
- Communicate project status updates and deliverables to stakeholders.
- Cookordinate travel for SVP and/or executive team.
- Cookordinate meeting and invite correspondence for SVP and executive team.
- Maintain Office Seating Chart.
- Host Meetings occasionally.
- Maintain Contractor Resource Roster.
- Maintain Contractor User Accounts in Ashley Systems, including global contractors.
- Prepare monthly Labor vendor billing files.
- Ensure Vendor invoices are accurate, and timesheets are approved.
- Sending out DAILY and Weekly communications to store managers and confirming information for tech installations.
- Keep track of the Migration Schedule and make any necessary changes with the Store and/or office.
- Assist with the development and implementation of policies, procedures, and standards.
- Assist with the preparation and management of budgets and financial reports.
- Support Invoice Approvals by reassigning, rejecting, coding, and/or pre-approving.
- Occasionally assist with covering front desk reception.
- Demonstrate the Company’s Core and Growth Values in the performance of all job functions.
Job Qualifications
- Minimum of 5 years’ experience in an Executive Assistant role, preferably supporting SVP and higher titles.
- Bachelor’s Degree and Equivalent work experience required.
- Budgeting and financial management.
- Willingness to travel domestically, on occasion.
- Flexible & willing to work extended hours, when needed.
- Strong project management skills, including the ability to manage multiple projects simultaneously.
- Excellent communication skills, both verbal and written, with the ability to communicate effectively with all levels of the organization.
- Strong analytical and problem-solving skills.
- Organizational skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office Suite.
- Ability to work independently and as part of a team.
- Ability to identify and mitigate project risks and issues.
- Ability to maintain project documentation and track project progress.
- Ability to adapt to changing priorities and deadlines.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent interpersonal skills & strong attention to detail.
- Effective time management and organizational skills.
- Ability to work independently as well as in a team environment.
- Project Management methodologies and tools preferred, not required (Agile, Waterfall, ext.).
