The Consulate General in New York is seeking to recruit a service-minded, structured, pro-active and well-organised Executive Assistant and Legal Advisor first and foremost to provide the Consul General with high level administrative, logistical and practical support. The position has been part time till date and the legal assignments have been added to the portfolio in order to make the position full time. The main task of the position is to manage the Consul General's schedule and make sure that you prepare for all engagements, being one step ahead at all times. You will be reporting directly to the Consul General and work closely with the staff members in charge of events, organized or co-sponsored by the Consulate. You will be proof-reading and quality checking briefing notes and speeches for the use of the Consul General – including of substance, content and format – including with a view to enhance the knowledge base of the political, economic, commercial and cultural state of affairs in the Tri-State area. You will be the primary point of contact for external and internal inquiries addressed to the Consul General and you will also be in charge of managing and updating the Consul's network of contacts. In addition to the above the position includes legal counselling and reviewing vis-á-vis contracts etc. administered by the Consulate as well as administrative tasks on behalf of the Consul General. The position requires a high level of professionalism, discretion and reliability.

Main Tasks and Responsibilities as an Executive Assistant (EA)

  • Managing the Consul General's schedule.
  • Arranging all meetings and travels of the Consul General.
  • Coordinator of all events at the Residence of the Consul General.
  • Managing and updating the network of the Consul General's contacts.
  • Coordinator of bigger and high-level visits to the Consulate General.
  • Administrative tasks on behalf of the Consul General including financial settlement of expenses on behalf of the Consul General.
  • Proof-reading and quality checking of briefing notes and speeches to the Consul General.
  • Legal counselling and reviewing of contracts etc. administered by the Consulate.
  • All ad hoc tasks related to the daily operations of the Consul General.

Required Qualifications

  • A high sense of responsibility and proactivity.
  • Ability to work independently and efficiently.
  • Strong administrative skills.
  • High degree of service-mindedness.
  • Professionalism, discretion with confidential matters and reliability.
  • A structured mind-set and strong planning and coordination skills.
  • Ability to work under pressure and prioritize accordingly.
  • Bachelor or Master of Law.
  • Excellent command of English – both oral and written.
  • IT proficiency with commonly used tools.
  • Strong written and oral communication skills.
  • Interpersonal skills and team player abilities, as well as understanding the balance being the link between the Consul General and her staff.
  • Ability to be flexible and willing to adapt to the changing needs of the Consul General.

Desired Qualifications

Command of one of the Scandinavian languages is not a requirement, but will be considered an advantage.

Employment Conditions

  • You will be offered full time employment for 2 years on a local contract, with the possibility of extension.
  • Your standard working hours will be 37 hours per week with a requirement to be available for events that take place in the evenings, weekends or holidays.
  • You will be entitled to 5 weeks (25 working days) of paid vacation days per year.
  • You will be offered reasonable coverage of sickness expenses. So will your spouse/partner/children under the age of 26 if you provide for him/her/them.
  • As part of your salary, you will be covered by a workplace pension scheme.

Pay

The gross yearly salary for the position – for an employee subject to US income taxation – is 75,200$. For a tax-exempt employee the salary is 60,200$. Depending on the candidate's qualifications, an additional individual allowance may be added. Additionally the Consulate will cover the employer part of pension contribution and the employer part of medical insurance.
