About the role
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our SVP of Supply Chain within AI Infrastructure.
This role extends beyond traditional executive support. You will be at the center of a fast-paced, high-growth environment, helping connect teams, drive operational efficiency, and enable leadership effectiveness across critical infrastructure initiatives.
You'll serve as a trusted right hand to the SVP of Supply Chain, keeping their calendar, priorities, and travel running smoothly while helping connect the dots across supply chain, procurement, hardware, and data centre teams.
Responsibilities
- Complex calendar management, meeting coordination, travel planning, and expense management, with priorities aligned to the SVP's key business objectives and supply chain commitments.
- Anticipating needs, identifying potential scheduling conflicts, and resolving issues before they arise.
- Supporting planning across supply chain, procurement, hardware, data centre, and cross-functional leadership teams, and tracking key initiatives, action items, and deliverables.
- Organising leadership reviews, supplier meetings, operational reviews, and business planning activities.
- Acting as a trusted point of contact for internal and external stakeholders, including senior leaders, suppliers, vendors, and partners across the AI supply chain.
- Preparing agendas, briefing materials, presentations, and documentation, and capturing actions, decisions, and follow-ups.
- Managing complex international travel, and coordinating leadership offsites, supplier and operational reviews, site visits, and industry events.
- Bringing structure, process discipline, and accurate record-keeping to a fast-moving environment, and spotting opportunities to improve ways of working.
- Handling highly sensitive information — including supplier, pricing, and contractual details — with discretion and professionalism.
Requirements
- Proven experience as an Executive Assistant supporting senior executives, ideally at VP, SVP, or C-suite level.
- Exceptional organizational and prioritization skills with the ability to manage multiple work-streams simultaneously.
- Strong communication and interpersonal skills, with confidence engaging stakeholders at all levels, including suppliers and vendors.
- Experience managing complex calendars and international travel arrangements.
- High level of discretion, professionalism, and attention to detail.
- Ability to thrive in a fast-paced, dynamic, and rapidly evolving environment.
- Proactive mindset with strong problem-solving capabilities and a focus on execution.
- Experience supporting leaders within supply chain, procurement, hardware, infrastructure, engineering, or operations organizations (nice to have).
- Exposure to high-growth technology companies or scaling businesses (nice to have).
- Experience coordinating leadership meetings, supplier reviews, operational reviews, or cross-functional programs (nice to have).
- Familiarity with project management tools and collaboration platforms (nice to have).
