We are seeking a highly organized and proactive Executive Assistant to support a Senior Vice President and 2 Vice Presidents on the Merchandising, Inventory, Supply Chain Technology team, as well as the broader organization. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks, with the ability to work independently and with a team of other executive assistants and leaders.
Responsibilities
- Provide comprehensive support services to the Vice Presidents by building a foundation of a professional, responsive, and effective environment for the organization
- Manage complex calendars by proactively prioritizing, scheduling, preparing for and communicating meetings and events for the Vice Presidents and others as needed
- Partner with other team members to help build company culture by leading engagement/recognition projects, organizing team communications and planning events, both internally and offsite
- Assist in maintaining department discretionary budget and manage SVP/VP expense reconciliation and travel arrangements
- Prepare and edit correspondence, reports, and presentations
- Handle highly confidential information with discretion and maintain the security of the Vice Presidents’ records and files
- Perform other related duties and execute projects as assigned
Requirements
- Proven experience as an Executive Assistant or similar administrative role
- Bachelor's degree in business administration or related field preferred, or equivalent working experience
- Proficient in Microsoft Office Suite (SharePoint, Excel, Outlook, and PowerPoint) and experience with virtual meeting software (e.g., Microsoft Teams, Slack)
- Exceptional context-switching ability, can shift rapidly between priorities and people without losing track of what’s in flight
- Excellent communication and interpersonal skills
- Ability to navigate through ambiguity and influence without authority
- A proactive approach to problem-solving with strong decision-making capabilities
- Ability to maintain a high level of integrity and discretion in handling confidential information
- Experience in managing executive calendars and travel arrangements
- Comfortable thriving in a fast-moving, high-change environment; able to keep many workstreams in motion simultaneously and switch context quickly without losing momentum
- Exceptional attention to detail and follow-through. Ability to ensure no request goes unaddressed, proactively tracking outstanding items to completion so nothing falls through the cracks
Pay
The pay range for this position is $27.75 - $44.25 hourly, dependent on location, job-related knowledge, skills, and experience.
