About the role

This position provides varied and advanced administrative support to the Vice President of Student Development, managing the day-to-day activities of the office. It requires a considerable degree of independence, discretion, and sound judgment.

Responsibilities

  • Manage the day-to-day activities of the office, including maintaining files, telephone and mailing lists, office supplies, and monitoring expenditures to ensure purchases are within budget.
  • Plan, organize, and attend to administrative details for special assignments and projects, including creating and maintaining databases, gathering data, compiling statistics, preparing reports, graphs, and charts.
  • Maintain the Vice President’s calendar, schedule appointments and meetings, reserve conference rooms, organize materials, and send meeting notices.
  • Prepare minutes, formal reports, and other documents for internal and external groups and organizations involving the Vice President.
  • Maintain confidentiality regarding organizational plans, student-related matters, and personnel issues.
  • Evaluate incoming correspondence, determine matters requiring the Vice President’s attention, draft replies, gather background material, and acknowledge correspondence in the Vice President’s absence.
  • Receive and assist visitors and telephone callers, referring them to appropriate offices as needed.
  • Cooperate effectively with other employees to carry out the Vice President’s instructions, transmit information accurately, and take initiative to resolve issues in the Vice President’s absence.
  • Handle complaints and conflicts diplomatically, using perceptive judgment and discretion to defuse potentially volatile situations.
  • Manage travel arrangements and expense reimbursements for the office.
  • Prepare and coordinate special board agenda items, ensuring completion for board meeting deadlines.
  • Initiate and process forms such as purchase orders, personnel requisitions, travel authorization forms, supply requisitions, printing requests, and travel expense reimbursements.
  • Perform assigned responsibilities, duties, and tasks according to established practices, procedures, and standards in a safe manner with minimal supervision.

Requirements

  • Completion of an Associate’s Degree (or a comparable amount of training, education, or experience).
  • Three to five years of related administrative experience.

Pay

Salary range: $23.66 – $32.00 per hour. While the full range is provided for growth potential, most new hires are initially placed within the lower portion of the range based on experience and institutional compensation guidelines.
