Executive Administrative Assistant I
Location: This role requires associates to be in-office 1 - 2 days per week, fostering collaboration and connectivity, while providing flexibility to support productivity and work-life balance. About the role
The Executive Administrative Assistant I will perform a variety of support functions to a Vice President and her leadership team, including advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience, skills, and knowledge of the organization and its policies and practices.
Responsibilities
- Serve as an intermediary between the executive, management, and associates
- Write and route confidential correspondence
- Screen, handle, or distribute incoming phone calls and complaints
- Maintain confidential correspondence and general files
- Order supplies
- Prepare and track budgets
- Coordinate travel plans
- Submit expense reports
- Compile and distribute meeting minutes
- Compile information for reports, documents, and proposals
- Collate and assemble materials; make arrangements for meetings and presentations
- Organize chart updates
- Prepare forms and review documentation for conformance with internal policies and procedures
- Utilize various software packages such as spreadsheet, word processing, database, and graphics to produce high-quality reports, presentations, and documents
- Research, verify, and prepare reports
- Create and maintain databases
- Perform diversified and confidential administrative duties requiring comprehensive skill and knowledge of organization policies and procedures
Requirements
Requires a high school diploma or equivalent and a minimum of 5+ years of administrative experience; or any combination of education and experience which would provide an equivalent background.
Preferred Qualifications
- Ability to build relationships across the organization and partner with other Executive Assistants
- Skills in resolving conflicts and prioritizing tasks on behalf of the VP
- Proven experience providing support to multiple executives distributed across various time zones
- Exceptional strategic thinking, decision-making, problem-solving skills, and adaptability
- Experience interacting confidently with senior management and collaborating with cross-functional teams
- Excellent written, oral, presentation, and interpersonal communication skills
- Strong executive presence with proven ability to negotiate expectations between multiple parties
- Proficiency in Microsoft Office products, notably PowerPoint, Teams, Outlook, Excel, and Word
Pay
For candidates working in Chicago, IL, the salary range for this position is $31.31 to $46.97 per hour. The salary offered is based on legitimate, non-discriminatory factors set by the company, including geographic location, work experience, education, and skill level.
