Executive Administrative Assistant
The Role at a Glance
The Executive Admin Assistant, Administrative Services position will perform and deliver on routine and progressively more non-routine assignments for their assigned area(s) of responsibility independently in accordance with established procedures/guidelines. They will provide a full range of administrative support for assigned Senior Management Committee (SMC) or Corporate Leadership Group (CLG).
Responsibilities
- Supports and promotes change management and/or departmental/enterprise initiatives within assigned area(s) of responsibility.
- Mets or exceeds departmental quality and service standards.
- Works overtime as needed.
- Works independently delivering on routine but progressively more non-routine work, in accordance with established procedures and guidelines in a timely manner and meets deadlines appropriately.
- Makes routine and progressively more non-routine decisions independently, in accordance with established procedures and guidelines.
- Shares a diverse range of knowledge and information and/or enables less experienced team members to perform their assignments.
- Performs a diverse range of tasks/transactions related to common programs and services by directly applying expanded knowledge obtained from the role in increasingly more complex situations.
- Communicates and/or coordinates assigned SMC/CLG member(s) instructions and/or desires with various departments and/or internal/external stakeholders.
- Furnishes and obtains information from other SMC/CLG members and/or external stakeholders which may be confidential in nature.
- Prepares assigned SMC/CLG member for meetings by creating, gathering, and/or organizing material, identifying key questions to be prepared to answer and preparing reference material in an effective structure.
- Prepares correspondence, memorandum and documents, which may be confidential in nature for the SMC/CLG member(s) review and approval.
- Prepares complex reports and presentations including preparing special reports through conducting research to add value to material and/or gathering and summarizing information and/or data.
- Proofreads complex documents, presentation and reports for grammatical and typographical errors.
- Receives and screens telephone calls, letters and/or visitors for the assigned SMC/CLG member(s) including, answering routine questions, obtaining and furnishing information to save SMC/CLG member(s) time.
- Greets and directs SMC/CLG member’s visitors and act as primary resource for internal and external contacts, facilitating a professional image of LFG.
- Manages assigned SMC/CLG member(s) calendar and schedule meetings, conferences and appointments including managing availability and commitments to ensure clear priorities and optimum use of time.
- Arranges and coordinates assigned SMC/CLG member(s) travel including preparing itineraries.
- Plans, organizes, and facilitates special projects requested by assigned SMC/CLG member(s).
- Plans and coordinates special events as needed.
- Organizes and maintains assigned SMC/CLG member(s) correspondence and records, following up on pending matters as needed.
- Sorts, reviews, and distributes assigned SMC/CLG member(s) mail.
- Enters assigned SMC/CLG member(s) expenses reports into appropriate systems.
- Processes invoices for prompt payment as needed.
- Orders supplies and coordinates routine maintenance and repairs to office equipment as needed.
- For roles Corporate Executive Administrative Assistant roles located in Radnor only: Provides coverage for corporate reception during lunch or paid time off (PTO) as needed.
Qualifications
- 3 - 5+ Years of clerical and/or administrative support experience in a complex corporate environment supporting senior and/or executive management aligned with the responsibilities for this position (Required)
Pay
The pay range for this position is $35.87 - $47.83 with anticipated pay for new hires between the minimum and midpoint of the range and could vary above and below the listed range as permitted by applicable law. Pay is based on non-discriminatory factors including but not limited to work experience, education, location, licensure requirements, proficiency and qualifications required for the role. The base pay is just one component of Lincoln’s total rewards package for employees. In addition, the role may be eligible for the Annual Incentive Program, which is discretionary and based on the performance of the company, business unit and individual. Other rewards may include long-term incentives, sales incentives and Lincoln’s standard benefits package.
