About the role

Crown Innovations is seeking a highly organized, proactive, and self-driven Administrative Assistant to support our Headquarters team in Arlington, Virginia. The Administrative Assistant will provide direct support to executive leadership, including the CEO and President, while overseeing daily office operations and serving as a trusted resource across the organization. This role requires exceptional organizational skills, professionalism, discretion, sound judgment, and the ability to anticipate executive needs while managing multiple competing priorities in a fast-paced environment. The successful candidate is a polished professional with outstanding communication skills, exceptional attention to detail, and a genuine passion for delivering exceptional internal and external customer experience. This individual will be expected to work independently, solve problems proactively, maintain strict confidentiality, and contribute to a positive, efficient, and collaborative workplace.

Responsibilities

  • Executive Support
    • Manage complex executive calendars while proactively identifying and resolving scheduling conflicts.
    • Coordinate internal and external meetings, conference calls, and executive appointments.
    • Prepare meeting agendas, presentation materials, briefing packets, and executive correspondence.
    • Arrange executive travel, lodging, transportation, and itineraries.
    • Track action items and follow up to ensure timely completion.
    • Handle confidential information with professionalism and discretion.
  • Office Operations
    • Oversee the day-to-day operations of Crown headquarters.
    • Manage office supplies, equipment, vendors, and facility-related requests.
    • Coordinate office maintenance and building management activities.
    • Serve as the primary point of contact for visitors and guests.
    • Process incoming and outgoing mail and shipments.
    • Maintain an organized and professional office environment.
  • Executive & Corporate Coordination
    • Coordinate company meetings, leadership meetings, and special events.
    • Assist with Board meetings, executive presentations, and leadership communications.
    • Support company-wide initiatives and special projects.
    • Coordinate catering, meeting logistics, and conference room scheduling.
    • Assist with employee recognition events and company functions.
  • Financial & Administrative Support
    • Process purchase orders.
    • Assist with invoice processing and vendor payments.
    • Track office-related expenditures.
    • Maintain departmental records and documentation.
    • Prepare reports and spreadsheets using Microsoft Excel.
  • Human Resources Support
    • Assist Human Resources with onboarding logistics and new hire coordination.
    • Prepare workspaces and coordinate first-day activities.
    • Assist with document collection and administrative support.
    • Support employee engagement initiatives and company events.
  • Continuous Improvement
    • Identify opportunities to improve administrative processes and office efficiency.
    • Develop and maintain administrative procedures and organizational documentation.
    • Recommend process improvements that enhance productivity and employee experience.
    • Support the implementation of new technologies and administrative best practices.

Requirements

  • Bachelor's degree required.
  • Proven experience in administrative support, office management, or related role.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office, including Excel and Outlook.
  • Strong organizational and time management skills with the ability to meet deadlines.
  • Ability to manage multiple priorities simultaneously.
  • Ability to work independently with minimal supervision in a fast-paced professional environment.
  • Strong problem-solving skills and initiative.

Preferred Qualifications

  • Prior experience supporting executive leadership.
  • Experience assisting with HR onboarding processes.

Schedule

Standard work schedule: Monday through Friday, 9:00 AM to 5:00 PM.

Pay

Hourly Rate Range: $18.00 – $24.00 per hour (W2). Compensation is determined based on experience, qualifications, internal equity, and business needs.
