Overview

Title: Executive Administrative Assistant
Location: Dallas, TX
Position Type: Full Time Remote/Virtual
Hybrid opportunity. 2-3 days per week in office after probationary period
Salary: $40.00 to $45.00 per hour depending on experience
Offer Based on Years of Experience

Responsibilities

  • Provides a high level of executive assistant and office support for members of the Executive Management Team
  • Manages individual calendars (daily)
  • Handles incoming calls and requests
  • Coordinates all travel plans for executive teams, guests, and consultants
  • Facilitates on-site and off-site retreats/meetings
  • Drafts communications to employees
  • Aids in the transition of outgoing and incoming executives, including relocation services
  • Liaises with AccentCare affiliates, employee candidates, internal staff, clients, vendors, potential investors, and potential affiliates (daily)
  • Reconciles expense reports (monthly)
  • Performs heavy administrative support tasks such as answering phones, faxing, typing, filing, coordinating conference calls, and miscellaneous duties (daily)
  • Provides coverage and assistance to the administrative support team regularly; collaborates on projects and assignments
  • Assists with managing the office needs of the receptionist (additional support required)
  • Performs special projects and other duties as assigned

Qualifications

  • Career education or position knowledge equivalent to at least two (2) years of college
  • Minimum of five (5) years of active executive administrative work experience in a similar position
  • Advanced office management practices and procedures, including proficiency in Microsoft Office; Word, Excel, PowerPoint; experience with Visio is a plus; and operation of office equipment
  • Knowledge of/proficiency in Microsoft Outlook
  • Familiarity with Office 365
  • Thorough/effective English grammar and spelling
  • Proficiency in operating and using advanced word-processing, database, and software efficiently and effectively
  • Excellent time management and organizational skills to meet deadlines and sustain ability to work in a multi-task environment
  • High level of quality customer support
  • Initiative and proactive approach to minimize “reactive” situations
  • Effective communication and interaction with internal/external “customers”
  • Possession of strong negotiating and customer service skills
