About the role
The Exceptional Scholar Services (ESS) Administrative Assistant position at Leman Academy of Excellence is responsible for managing ESS records and providing administrative support. Key responsibilities include managing records requests, maintaining physical files, handling 504 and ESS paperwork, and reporting data to school and district administration.
Responsibilities
- Manages records requests for all scholars, makes copies for school staff as assigned, and creates district files.
- Maintains all physical files housed at various campuses, including monthly visits to print and file items.
- Manages ESS and 504 spreadsheet data for due dates, scholar ESS and 504 data.
- Gathers and reports all 504 and ESS data as requested by school and district administration.
- Oversees and maintains 504 and ESS scholar databases and ensures data is current and accurate.
- Manages changes in enrollment, level of services, eligibility categories, etc., in data management systems.
- Affixes, types, proofreads, copies, distributes, and files letters, memos, meeting notices, IEPs, and other ESS and 504 related documents as requested.
- Attends training and workshops deemed necessary to perform duties.
- Performs other work-related duties as required.
Qualifications
- Minimum of an Associate’s degree OR a High School diploma with applicable working experience.
- AZ IVP Fingerprint Clearance Card / Background and Criminal History Clearance.
- First Aid and CPR Certification.
- Ability to manage conflict resolution with an attitude of humility and service.
- Exhibits patience, courtesy and tact when dealing with others.
- Ability to communicate effectively and professionally with scholars, parents, co-workers and build positive relationships.
- Ability to operate office equipment as required on assignment; i.e. fax machine, copier, computer, etc.
- Ability to lift boxes and packages of varying weights and move them to other locations.
