This position has been deemed critical by the School of Engineering Dean’s Office and is exempt from the hiring freeze. It is eligible for a hybrid work arrangement with a minimum of 4 days per week working at the Stanford main campus, subject to operational needs.

About the role

The Computer Science Department is seeking an Events Planner to plan and execute departmental events, including the annual commencement, seminars, conferences, alumni events, and other related activities. The successful candidate will consult with stakeholders and manage logistics such as registration, attendee tracking, presentation support, catering, and pre- and post-event evaluations.

Responsibilities

  • Design, plan, implement, and coordinate customized events.
  • Evaluate and select vendors and service providers based on stakeholder requirements.
  • Serve as a member of an events team, contributing to budget allocation, logistics, and facilities decisions.
  • Consult with stakeholders to determine event objectives and requirements.
  • Inspect event facilities to ensure they meet event needs.
  • Manage accounting operations related to registration, including daily procedures, reports, and final monetary summaries.
  • Lead smaller-scale events or manage program elements of larger-scale events.
  • Utilize and maintain complex databases and specialized event planning software.
  • Inspect event facilities for maintenance, janitorial, and fire safety compliance.

Working Conditions & Physical Requirements

  • May require travel and working evenings and weekends.
  • Frequently stand, walk, sit, perform desk-based tasks, and use a telephone.
  • Occasionally kneel, crawl, twist, bend, stoop, squat, grasp lightly or forcefully, and lift, carry, push, or pull objects weighing 21–40 pounds.
  • Ability to obtain and maintain a California Non-commercial Class C driver’s license and drive day or night.

Requirements

  • Associate degree and three years of relevant experience or a combination of education and relevant experience.
  • Demonstrated success in planning events.
  • Ability to work independently and as part of a team.
  • Strong organizational skills to manage shifting priorities and multiple time-sensitive projects.
  • Creativity, problem-solving skills, and the ability to take initiative.
  • Excellent interpersonal, communication, time management, and customer service skills.
  • Proficiency in Microsoft Office and online tools like Google Docs.
  • Ability to collaborate effectively with diverse groups and customers.
  • Must possess and maintain a valid California non-commercial Class C Driver’s License.

Pay

The budgeted base salary range for this position is $73,976 to $88,560 per annum.
