About the Role
The University of Kentucky University Events team is seeking a dependable and customer-focused Event Manager to support the planning, coordination, and successful execution of events.
What You'll Do
- Process a high volume of event reservations and requests annually using the University's Event Management Software.
- Coordinate the event reservation process by working closely with clients, campus partners, and key stakeholders to facilitate event planning, approvals, and logistics.
- Provide exceptional customer service to students, staff, campus partners, and other stakeholders throughout the event planning and reservation process.
- Assist patrons with submitting requests for campus spaces and events and provide guidance regarding applicable procedures, requirements, and approvals.
- Review event requests and coordinate with appropriate University departments and campus partners to ensure events are properly planned and approved.
- Monitor event details, timelines, and requirements to support the safe, efficient, and successful execution of events on campus.
- Communicate University event policies, procedures, guidelines, and requirements to clients, campus partners, and other stakeholders.
- Ensure event requests and activities are consistent with University policies, procedures, and applicable safety requirements.
- Serve as a knowledgeable resource regarding campus event processes, space reservations, approvals, and the services provided by the University Events Office.
- Collaborate with internal departments and campus partners to identify and resolve event-related concerns, scheduling conflicts, and operational issues.
- Maintain accurate event records, reservation information, documentation, and related data within the Event Management Software.
- Assist with the development, implementation, management, and communication of University event policies and procedures.
- Identify potential event concerns or conflicts and work proactively with clients and campus partners to develop appropriate solutions.
- Maintain a current working knowledge of the essential functions, services, policies, and responsibilities of the University Events Office.
- Perform additional duties, special assignments, and operational support tasks as required.
What You'll Bring
- Knowledge of event management practices, reservation processes, space scheduling, customer service principles, and event-related policies and procedures.
- Experience managing multiple events, reservations, requests, or projects in a fast-paced environment.
- Experience providing professional customer service and communicating effectively with clients, students, employees, campus partners, and other stakeholders.
- Ability to interpret and apply University policies and procedures consistently while exercising sound judgment in event planning and customer service situations.
- Strong organizational skills with the ability to manage a high volume of requests, prioritize competing responsibilities, and meet deadlines.
- Strong written and verbal communication skills with the ability to communicate policies, procedures, requirements, and event information clearly and professionally.
- Ability to build and maintain effective working relationships with clients, campus partners, University departments, and key stakeholders.
- Strong attention to detail and the ability to maintain accurate records and documentation.
- Ability to work independently while also collaborating effectively as part of a team in a dynamic, customer-focused environment.

- Preferred Education/Experience: Reservation software experience preferred

Pay & Schedule
- Salary Range: $44,678–71,469/year
- Position Time Status: Full-Time
- Shift: Monday – Friday, 8:00 a.m. – 5:00 p.m. (40 hours per week). Occasionally requires working evenings and weekends.
