About the role
This role helps Christ Church create a welcoming and hospitable experience for guests attending church events and external facility rentals. Working closely with the Events & Special Projects Director, this position coordinates event logistics, food service, staffing, and volunteer teams to ensure events run smoothly and effectively. The role also provides key administrative support through responsibilities such as ordering supplies, processing billing, coordinating volunteers, and helping lead events. By managing day-to-day event operations and details, this position enables the Events & Special Projects Director to focus on organizational priorities, strategic planning, collaboration, and problem-solving.
Responsibilities
- Collaborate with the Events & Special Projects Director to assess, plan, and coordinate food and event (F&E) service requirements for all church events and external rentals, ranging from staff meetings to conferences and events with more than 700 guests.
- Lead volunteer teams and oversee the execution of F&E services during events to ensure excellent hospitality and operational excellence.
- Assist Events & Special Projects Director with accounting, ordering, inventory management, and other administrative tasks.
- Demonstrate a heart for hospitality for guests and participants in all Christ Church and outside rental events.
- Assist in planning and preparing menus and welcoming spaces for gatherings from 15 to over 500.
- Program/Event Coordination and Logistical Support: manage event logistics, coordinate necessary resources, and ensure seamless collaboration across different departments.
- Information and Records Management: maintain accurate, organized, and accessible data systems, including volunteer information, attendance data, and contact lists.
- Communication and Scheduling Management: facilitate effective information flow, manage official calendars, handle correspondence, and act as the primary liaison on behalf of the supervisor.
- Participate in Christ Church staff life by attending all-staff meetings, church-sponsored events, worship, training events, and contributing to a culture of collaboration and encouragement.
- Support church-wide initiatives and special events, such as Christmas, Easter, Mother’s Day services, outreach, and mission events by serving in flexible roles beyond primary ministry responsibilities.
- Engage in ongoing personal and professional development through training, reading, coaching, or mentoring to grow as a leader and servant of Christ.
- Collaborate across ministries to ensure alignment, share resources, and strengthen unity on staff teams.

Requirements
- High School diploma (required).
- 1-3 years of experience in restaurant, catering, or service industry with experience in large events (preferred).
- Proficiency in software systems like Concur, Microsoft Office, eSpace, Touchpoint, and vendor ordering platforms.
- Food handler’s certification.
- Ability to communicate, organize, and delegate volunteer roles.
- Collaborate with director and team regarding event logistics planning and execution.
- Strong work ethic; willingness to work hard and be personable with guests for many hours during events.
