Responsibilities
- Act as the point person for the Master Events Calendar, Master Events Tracker, and weekly internal events e-blasts.
- Collaborate with the Sr. Events Manager to support over 150 annual events, including:
- Industry conferences and sponsorships
- Conference-related spin-off events (dinners, happy hours, activities)
- Corporate events (holiday parties, summer soirees, milestone events)
- Pop-up/special events (client screenings, retirements, offsite meetings)
- Due diligence and sales meetings
- Monthly and quarterly crypto events
- Manage venue sourcing, contract execution, food & beverage planning, and gifting.
- Cook up guest communications, registration (Certain), speaker prep, and deliverable deadlines.
- Cook up on-site execution, setup, and teardown for all event types.
- Cook up contract negotiation and vendor coordination (hotels, venues, restaurants, gifting partners).
- Track event expenses, process invoices, and reconcile budgets using the Events Corporate Card.
- Maintain vendor contact lists and assist in RFP coordination.
- Prepare presentation decks, guest bios, client lookbooks, and flight/transport manifests.
- Handle RedOak submissions in coordination with Distribution partners.
- Cook up special internal mailings and manage premium gift orders and booth design projects.
Qualifications
- 1–2 years of relevant experience in events coordination, preferably within financial services or corporate settings.
- Strong attention to detail and ability to juggle multiple tasks under tight deadlines.
- Excellent communication and interpersonal skills with the ability to collaborate across departments.
- Proficiency in Microsoft 360, familiarity with Event Registration Software, Salesforce, or similar platforms a plus.
- Experience working with vendors, managing invoices, and reconciling budgets.
- Comfortable engaging and interacting effectively with all levels of VanEck management and staff, as well as with clients and prospects.
- Strong work ethic and proven capacity to work effectively with minimum supervision, under pressure and tight deadlines, in a fast-paced and rapidly changing environment.
- Able to work on-site in New York, NY, with a minimum in-office presence of four days per week.
- Willing to travel approximately 10% annually.
- Able to work extended hours, including occasional weekends.
