Events Associate
About the role
Troubadour Golf & Field Club is seeking an Events Associate to join the Events Department. As our Events Associate, you’ll play a key role in our Events Operation and assist with all planning and executing of all club and member events. Working closely with several departments across property, you’ll represent the team with professionalism, warmth, and a commitment to exceptional service.
Troubadour Golf & Field Club is a private community, conveniently located just 30 miles south of downtown Nashville. Set on 980 acres, Troubadour features 375 residences; an 18-hole Tom Fazio-designed championship golf course; a multi-sport complex; an organic farm and world-class restaurants; private recording studios; music venues; and wellness facilities.
Responsibilities
- Promoting club and member event services through thoughtful communication and coordination with members
- Acting as a visible, approachable presence during events to handle inquiries and ensure exceptional guest experiences
- Drafting Banquet Event Orders (BEOs), maintaining floor plans, managing event app (e.g., Pacesetter) updates, and handling invoice tracking
- Partnering with Culinary, Golf, Facilities, and external vendors to deliver seamless event timelines
- Managing vendor relationships, sourcing partners, and building operational materials like event manuals, orders, and inventories
- Ensuring accurate billing, event paperwork, and seamless communication to the operations team
- Sending weekly progress updates and sharing member feedback to continuously enhance service
Requirements
- 2–4 years in the hospitality industry with a focus on event operations
- 2+ years in a luxury club, hotel, or resort environment (experience with Forbes standards preferred)
- Strong track record of success managing budgets, profitability, and guest satisfaction
- Excellent verbal and written communication skills
- Highly organized, with impeccable attention to detail and cleanliness
- Confident managing, scheduling, and training staff to deliver consistent excellence
- Creative, trend-savvy, and dedicated to delivering elevated member experiences
- Flexible schedule including weekends and holidays as needed
Qualifications
Bachelor’s degree preferred—or a combination of relevant experience and training
Ability to push, pull, and lift up to 50 lbs
Comfortable working on your feet and in various weather conditions
Positive, polished, and professional demeanor
