Event Planning & Coordinator Volunteer

Monumental Impact · Monument, CO · 2 wk ago
Volunteer

Monumental Impact is a 501(c)(3) Colorado nonprofit serving high school students through adults as a community makerspace. Also known as MITEE—Monumental Impact for Technology, Engineering and Entrepreneurship—we connect youth and community members with career pathways in technology, engineering, and entrepreneurship. Through programs, equipment, mentorship, workspace, and real-world experiences, we empower people to explore, create, and compete.

About the Role

Do you enjoy organizing events, keeping track of details, coordinating people, and helping turn plans into successful experiences? Monumental Impact is looking for Event Planning & Coordinator Volunteers to work within our Event Planning & Delivery Team to help plan, promote, coordinate, and deliver events throughout the year. Our most immediate opportunity is helping form the Event Committee for our 6th Annual MITEE Gobble Squabble, our annual robotics and technology exhibition being held Saturday, November 21, 2026. You don't need to take responsibility for an entire event. We're looking for volunteers who can take ownership of different pieces, coordinate with others, and help make sure the details come together. After the Gobble Squabble—or alongside it—there are opportunities to help coordinate our broader calendar of makerspace, entrepreneurship, robotics, program, and community events.

Responsibilities

Depending on your interests, experience, and availability, you may help with:

  • Event Planning & Coordination
    • Help develop event plans, timelines, task lists, and responsibilities.
    • Coordinate with team members responsible for programs, robotics, makerspace activities, marketing, and community engagement.
    • Help identify what needs to happen—and who needs to be involved—to successfully deliver an event.
    • Track activities and follow up on outstanding items.
    • Help recruit and coordinate additional volunteers when needed.
  • Event Calendar & Internal Coordination
    • Help keep Monumental Impact's internal event calendar and schedule current.
    • Gather event details from our different functional teams and programs.
    • Identify upcoming events that require registration, promotion, volunteers, equipment, or other support.
    • Coordinate with our Marketing & Communications Team so upcoming activities are communicated externally at the right time.
  • Event Registration & Online Postings
    • Help create and maintain event listings and registration information.
    • Post and update events on our website and other platforms.
    • Help coordinate event registration through Givebutter when appropriate.
    • Assist with event postings on Facebook, LinkedIn, and other communication channels in coordination with our Marketing & Communications Team.
    • Help ensure dates, times, descriptions, registration information, and other details remain consistent across platforms.
  • Event Delivery
    • Help coordinate setup and teardown.
    • Assist with participant, volunteer, vendor, or guest check-in.
    • Help with signage, schedules, materials, and other event-day needs.
    • Coordinate volunteers and help make sure people know where they're supposed to be.
    • Help troubleshoot last-minute event needs.
    • Gather feedback and lessons learned so we can improve future events.

Immediate Opportunity: Gobble Squabble Event Committee

Our 6th Annual MITEE Gobble Squabble provides an immediate opportunity to jump in and make an impact. Event Committee volunteers may help with:

  • Event planning and timeline management
  • Robotics and participant coordination
  • Registration and check-in
  • Volunteer recruitment and scheduling
  • Venue and event logistics
  • Event communications
  • Signage and printed materials
  • Sponsor and community engagement
  • Public-facing activities
  • Setup and teardown
  • Day-of-event coordination
  • Post-event follow-up

You don't need event-planning experience to join the committee. We need a combination of people who are comfortable taking ownership of an area and people who simply want to pitch in and help get things done.

Qualifications

This opportunity could be a good fit if you:

  • Enjoy organizing activities and bringing people together.
  • Like turning ideas into actionable plans.
  • Are comfortable keeping track of details, dates, and deadlines.
  • Communicate well and aren't afraid to follow up.
  • Can collaborate with several teams at once.
  • Are willing to take ownership of an assignment and follow it through.
  • Can stay flexible when plans change.
  • Enjoy community events, technology, engineering, robotics, or nonprofit activities.
  • Are comfortable using—or willing to learn—online calendars, registration platforms, websites, and other event tools.

Experience with event planning, event coordination, project management, volunteer coordination, community events, nonprofit events, registration systems, Givebutter, WordPress, or social media event management is helpful, but not required.

Benefits

This is an opportunity to:

  • Gain hands-on event planning and coordination experience.
  • Help deliver a major annual community event.
  • Work with volunteers, interns, mentors, robotics participants, and community partners.
  • Build experience with event registration, communications, logistics, and volunteer coordination.
  • Learn more about nonprofit and community event operations.
  • Take ownership of a specific event area or project.
  • Help develop event processes that can be reused throughout the year.
  • Become part of our ongoing Event Planning & Delivery Team.

Experienced volunteers may also have opportunities to mentor interns or other community members interested in event planning, project management, or community engagement.

Schedule

We're flexible and welcome both project-based and ongoing volunteers. If you're primarily interested in the Gobble Squabble, you can join the Event Committee and help us through the November 21 event. If you're interested in something longer-term, we'd welcome your help with our broader Event Planning & Delivery efforts throughout the year. Some planning and coordination can be completed remotely, while event delivery and certain planning activities will require in-person participation. We'll work with you to identify responsibilities that fit your interests and availability.
