About the role
The New York Racing Association is seeking a detail-oriented and highly organized Event Operations Coordinator to assist with the oversight of live racing operations. This role will play a critical part in ensuring seamless day-to-day racing operations, pre-meet facility readiness, and the successful coordination of cross-departmental initiatives. The ideal candidate will have experience in large-scale events, live operation environments, with strong project management and administrative capabilities.
Responsibilities
- Assist with the oversight and preparedness of pre-meet facility build out and overlay, ensuring venue readiness, safety, compliance, and guest experience standards are met.
- Conduct in-meet daily operational readiness checks to ensure all departments are fully prepared for race-day activities.
- Coordinate cross-departmentally (Facilities, Security, Hospitality, Sales, Racing Operations, Events/Marketing etc.) to ensure daily operational alignment.
- Supervise seasonal staff brought on to assist with the execution of daily event activities, including onboarding, scheduling support, and performance oversight.
- Work cross-departmentally to ensure proper coordination regarding activation spaces.
- Assist in special event setups and tear downs.
- Manage multiple operational projects simultaneously, maintaining timelines and deliverables.
- Handle administrative responsibilities including quote gathering, RFQ/RFP creation, and purchase request processing.
- Develop and maintain meeting agendas and documentation.
- Track vendor performance, budget, and project milestones.
Requirements
- Bachelor’s degree required.
- Valid driver’s license.
- 1-3 years of experience in large-scale event operations.
- Experience within horse racing or a live sporting venue environment strongly preferred.
- Demonstrated ability to manage multiple projects in a fast-paced setting.
- Strong administrative and organizational skills including procurement processes.
- Excellent written and verbal communication skills.
- Ability to work on-site with flexible hours including early mornings, evenings, weekends, and holidays during live racing and major events.
