The Event Manager is a detail-oriented and organized individual who successfully manages and executes multiple events simultaneously. This role requires working well under pressure, making timely decisions, and demonstrating creativity, responsibility, independence, sociability, confidence, self-motivation, and flexibility. The Event Manager ensures both Clients and Buyers have all their needs met before, during, and following each event.

Responsibilities

  • Act as a liaison between all parties and communicate accurate and comprehensive information to Clients, Buyers, teammates, and other internal departments.
  • Ensure all aspects of Client’s participation at events has been considered and discussed to meet and exceed expectations.
  • Manage all aspects of Client’s travel, including negotiating travel budgets and additional expenses.
  • Provide immediate support for any travel issues, including nights and weekends, by anticipating delays, developing contingency plans, and managing last-minute complications.
  • Negotiate, organize, and implement special requests by Clients or Buyers, such as book signings, autograph sessions, conference calls, and riders.
  • Make independent decisions under high-pressure circumstances in a cross-functional team environment.
  • Review and approve marketing materials, including press releases, advertisements, and publications relating to Client’s participation in events.
  • Create comprehensive briefings through meticulous planning, in-depth discussions, and contract details to ensure flawless event execution.
  • Remain current on Client biographies, topics, and styles to serve as a point of knowledge for Buyers during planning stages.
  • Manage Client records to ensure up-to-date information is available to all members of the Speakers Department.
  • Develop, maintain, and strengthen relationships with Clients and Buyers.
  • Occasionally travel to events and provide on-site support to Clients and Buyers when required.
  • Deliver unparalleled service, providing 24/7 support and creating unmatched value and trust with Clients and Buyers.

Requirements

  • BA/BS from an accredited University or College or equivalent work experience.
  • 3+ years of experience with event planning and/or travel management.
  • Must have travel experience.
  • Available to work an extended schedule, including occasional weekends and evenings, according to workload and client travel demands. This role is on call 24/7 to support clients when they are traveling.
  • Customer service experience.
  • Proficiency in Microsoft products (Word, Excel, PowerPoint, and Outlook) and CRM databases.
  • Exceptional verbal, written, and interpersonal communication skills.
  • Ability to multitask and constantly reprioritize workload.
  • Experience in the lecture or travel industry is a plus.

Location

This role will be located onsite Monday - Friday at our Los Angeles, Washington, D.C., or New York office.

Pay

The annual base salary for this position is in the range of $71,000 to $79,000 for Los Angeles, $68,000 to $75,000 for Washington, D.C., and $75,000 to $79,000 for New York. This position is also eligible for benefits and a discretionary bonus.
