About the Opportunity
The Event Coordinator, North America is responsible for managing the full lifecycle of group and corporate events from confirmed sale through final billing. This role serves as the primary client contact, coordinates cross-functional teams to ensure flawless event delivery, and contributes to standardizing event management practices across the portfolio. The position supports operational excellence and client satisfaction in a remote capacity with occasional travel requirements.
Responsibilities
- Serve as the main client contact post-confirmation, guiding clients through event planning.
- Congduct detailed planning sessions to capture event objectives and requirements.
- Liaise with third-party vendors and contribute to preferred vendor list development.
- Prepare and maintain accurate event documentation and orders.
- Communicate clearly with clients on timelines, policies, and expectations.
- Manage and track all internal and client deadlines related to events.
- Collaborate with on-site operations and event teams to ensure alignment.
- Coordinate internal briefings and share event documentation and risk considerations.
- Facilitate internal debriefs and introductions approximately 30 days before events.
- Attend high-profile events on-site as needed to support teams and clients.
- Support creation and review of final event invoices, ensuring accuracy and compliance.
- Address billing discrepancies in coordination with finance and venue teams.
- Collect and document post-event feedback for continuous improvement.
- Identify opportunities to convert events into repeat business and referrals.
- Develop and refine event coordination templates and standard operating procedures.
- Collaborate with the Global MICE Director to share best practices across regions.
Requirements
- 2–4 years experience in event coordination or related roles within venues, attractions, or hospitality.
- Proven ability to manage multiple simultaneous events and client communications.
- Familiarity with event financials including contracts, guarantees, and billing preferred.
- Strong organizational skills with attention to detail in managing complex event data.
- Client-focused, solution-oriented approach with effective communication skills.
- Ability to handle client challenges calmly and resolve operational issues proactively.
- Creative thinking for designing practical experiences beyond standard meeting spaces.
- Collaborative mindset to build trust with venue and cross-functional teams.
- Proficiency in Microsoft Office and comfort with event management and CRM systems.
Pay Range and Compensation Package
USD $55,000.00 per year.
