About the role
We are seeking an Event Coordinator to provide crucial administrative support and coordination across multiple projects, assisting Project Managers and other team members to produce successful events. This role is ideal for early-career professionals (1-3 years of experience) seeking to grow technical and creative skills in a collaborative design environment.
Responsibilities
- Provide project support to project managers as needed across multiple projects.
- Collect schedule data, update project schedules and report on this information to staff, clients, and vendors using tools such as SmartSheet.
- Provide administrative support such as scheduling meetings, ordering supplies/equipment, creating presentations, task coordination and follow-up.
- Research commodities and vendors in designated areas, presenting findings with recommendations on selection.
- Facilitate order placement with vendors and organize client invoices, ensuring accurate invoice management.
- Cook up detailed schedules, delivery operations, load-in/load-out planning and operations.
Requirements For Success
- Detail-oriented and organized with proven track record of efficient time management across multiple projects.
- Proficiency in MS Office; advanced understanding of Excel/database relationships and Smartsheet is a plus.
- Technical acumen –quick to pick up new tools/software/platforms.
- Excellent written and verbal communication skills.
- Proven ability to be flexible, adaptable, and maintain composure when managing shifting priorities, project requirements, demands, and timelines.
- Able to work effectively both independently and in a team-oriented, collaborative environment.
- Demonstrated ability to identify areas for process improvement and take initiative to implement solutions that enhance efficiency and effectiveness.
- Strong problem-solving skills with the ability to think critically and make quick decisions under pressure.
Qualifications
- Bachelor’s or associate degree preferred, but not required.
- Previous experience with event-related project management is a plus.
