Event Associate Volunteer
Position Overview
We are seeking an experienced event management individual who is passionate about ocean conservation and environmental sustainability. This role requires a motivated and detail-oriented person who will support our ocean conservation initiatives through the planning and execution of virtual and in-person events.
Your Impact on our Mission
- Event Planning and Coordination
- Assist in planning, organizing, and executing a variety of events, including educational workshops, community outreach programs, and virtual events
- Cook up logistics such as venue selection, catering, transportation, accommodations, and delivery of marketing materials and supplies
- Develop event timelines, checklists, and budgets to ensure successful event execution
- Stakeholder Engagement
- Liaise with sponsors, donors, volunteers, and community partners to ensure effective collaboration and support for events
- Cultivate relationships with vendors, contractors, and other service providers
- Marketing and Promotion
- Aid in developing marketing materials, including flyers, social media content, email campaigns, and press releases to promote events
- Aid in the management of event-related social media accounts and update the organization's website with event information
- On-Site Event Management
- Oversee event setup and breakdown, ensuring all logistics are handled efficiently
- Provide on-site support during events, including registration, guest assistance, and troubleshooting issues as they arise
- Cook up and manage event volunteers
- Post-Event Activities
- Conduct post-event evaluations to gather feedback and identify areas for improvement
- Prepare and distribute thank-you notes and acknowledgments to sponsors, donors, and participants
- Aid in compiling event reports and maintaining accurate event records
What you will bring to the Team

- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite and Google Workspace
- Experience with budget management
- Ability to work flexible hours, including evenings and weekends, as needed
- Ability to work collaboratively with a diverse team
- Experience with social media platforms and digital marketing tools is preferred, but not required
- Prior experience with a non-profit organization is preferred
- 1+ years of prior experience in a related field such as customer service, hospitality, or previous event planning/coordinator experience is preferred
