Estimating Assistant

About the role

An Estimating Assistant oversees administrative tasks to ensure the estimating and project management departments have accurate, well-maintained bid folders. The role involves sending invitations to bid to vendors, tracking and following up on plans and bid schedules, and serving the administrative needs of the estimating department.

Responsibilities

• Download plans and organize them into bidding folders
• Draft and submit Invitations to Bid (ITBs) and ensure they are returned timely for CSD bid submissions
• Procure new subcontractors and vendors
• Create and file bidding folders and documents
• Create and update ITB logs
• Draft and submit ITBs for project buyouts
• Review procured data with the estimator and participate in the bidding process when needed
• Draft rough schedules for submissions with bids
• Print plans and distribute them to the estimator
• Submit bid packages when needed
• Attend pre-bid meetings when needed
• Assemble job notices and equipment lists
• Complete supplier comparisons for review
• Help ensure bidding data is properly filed
• Coordinate with estimating staff to ensure the bidding process stays on schedule
• Log in and review projects on Construction Journal, and reach out for initial contact on potential projects
• Assemble purchase orders for front-end items
• Send out corporate data to clients and potential clients
• Assemble AIA billing application Schedule of Values (SOV)

Requirements

• Combination of education and experience totaling at least 5 years

Skills

• Self-motivated and able to multitask daily
• Well-organized
• Skilled in Microsoft Office and Microsoft Project
