Job Summary

Thalle Construction Co. Inc. is seeking an Estimating Administrative Assistant to join our team. Reporting to the Estimating Manager, this position works closely with the estimating and proposal team.

Location

The position is located out of our office in Hillsborough, NC. Thalle, established in 1947, is a heavy civil construction company with a corporate office in Hillsborough, NC, and a regional office in Alvarado, Texas. Thalle has projects throughout the Southeast, Texas, and New Jersey, with growth nationwide.

Job Duties

  • Upload and download files from SharePoint and coordinate with N Drive to maintain data flow
  • Internet research and utilize other technology/software as required
  • Call and email vendors for quotes, qualifications, and other information - working with Vince to assist with quote organization
  • Update vendor/subcontractor information on company database
  • Aid in prequalification of vendor/subcontractors
  • Proofread and assemble final proposal and bid submission for owners
  • Ensure information released to estimators and project management is complete, accurate, and well organized
  • General assistance to accounting, estimating, and construction staff as required
  • Answer calls and manage calendar deadlines
  • Document control: receive, file, track, and distribute all construction documents
  • Coordinate meetings and prepare minutes
  • Communicate relevant project information to the client and project team
  • Aid proposal team in drafting proposals, request for information, budgets, cash flows, and preliminary schedules
  • Develop ideas for improving company processes with a positive and constructive attitude and develop this attitude in others
  • Manage PreCon & Estimating department’s data and information flow
  • Support estimating and proposal teams with document control and administrative duties
  • Manage multiple databases
  • Set up and maintain project folders
  • Prepare bid instructions, bid forms, and bid scopes for distribution
  • Manage bid outreach including municipal requirements for forms and postings
  • Send out bid and budget requests
  • Oversee tracking of subcontractor prequalification
  • Prepare and send out estimate packages and presentations to clients
  • Manage print production of plans and specs
  • Understand and develop Autodesk Construction Cloud for implementation across estimating and pre-construction
  • Maintain estimating bid schedule and meeting agenda

Physical Requirements

  • Punctuality: Maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards
  • Lifting/Carrying: Ability to safely and successfully lift and carry up to 50 lbs
  • Communication: Ability to talk, listen, and speak clearly on the telephone
