About the Role

This Estate Planning Legal Executive Assistant role is a great opportunity for a highly organized, proactive professional who enjoys managing details, anticipating needs, and supporting a collaborative team. In this role, you’ll work closely with attorneys and fellow Legal Executive Assistants to keep work moving efficiently and ensure accurate, timely support.

Responsibilities

  • Lead the management and administration of a large volume of time-sensitive communications
  • Maintain attorney business development contact lists through the firm’s CRM
  • Consistently and professionally communicate through internal and external calls and emails, building relationships with clients
  • Perform administrative tasks independently
  • Prepare, edit, and finalize correspondence, legal documents, transcription, memos, and other materials
  • Proofread all materials for typographical errors, office style conformity, accuracy, and inclusion of required information and enclosures
  • Schedule and manage internal and external meetings and calendars, including working with the receptionist team to reserve meeting rooms and ensure meeting needs, such as refreshments and meals, are available as needed
  • Assist with continuous client outreach, contact, relationship building, and marketing activities
  • Facilitate incoming and outgoing mail
  • Manage attorney expenses and check requests
  • Timely filing and maintenance of paper and electronic documents and records
  • Assist in reviewing and editing client invoices
  • Coordinate travel arrangements as needed
  • Act as back-up for other Legal Executive Assistants
  • Manage attorney boards and other pro bono work
  • Perform all other duties as assigned

Requirements

  • Engage with clients in a professional, clear, concise, positive, and timely manner

  • Consistently seek opportunities to advance technical and personal skills
  • Proactively support internal customers and external clients utilizing the most current technology available
  • Demonstrate initiative and resourcefulness to obtain information needed to perform duties with minimal supervision
  • Communicate with team to gather critical information needed for various duties
  • Bachelor’s degree or equivalent legal experience preferred; estate planning experience in a law firm setting is a plus but not required
  • Excellent organization, time-management, and prioritization skills
  • Proficiency in Microsoft Office Suite, Work10, Adobe Pro
  • Must have good organization skills
